Qualifications

  • Knowledge of MISD interdepartmental office procedures with a minimum of five years administrative support experience.
  • Graduation from high school, including or supplemented by courses in word processing and business practices.
  • Above average knowledge of language skills, particularly in areas of spelling, punctuation and English usage.
  • Excellent computer skills with demonstrated proficiency of microcomputer applications, including: Microsoft Word, Excel, PowerPoint, Access, internet browsers, and Outlook.
  • Skills to effectively assist in the planning and coordination of the office work flow in cooperation with the Director.
  • Highly skilled in understanding and using the Core Business System (AS400) systems, including purchase orders, attendance, accounts payable, accounts receivable, etc.
  • Must be proficient in basic administrative support skills; office equipment, printers, scanning, scheduling county-wide meetings, maintenance and coordination of contact lists, creating and maintaining fillable forms.
  • Ability to work tactfully, cooperatively, effectively and patiently with large and divergent groups of people.
  • Ability to set up and maintain an effective filing system.
  • Ability to work independently on department projects.
  • Ability to problem solve and work collaboratively with staff and MISD employees.
  • Ability to maintain confidentiality.
  • Must possess a mature attitude along with other personal qualities of integrity, pride, confidentiality and enthusiasm.
  • Must pass criminal background check as required by School Safety Legislation.

Responsibilities Shall Include But Not Be Limited To

  • Handle administrative assistant duties, including typing needs and composing routine letters for the Director and others as directed.
  • Prepare and complete projects/assignments; distribute materials as needed.
  • Provide information; answer inquiries and support relating to MISD and Macomb County schools.
  • Act as receptionist and work independently in meeting the public; respond to parent and staff concerns or be able to direct callers to appropriate resources.
  • Assist the receptionist desk/switchboard, mail room and help desk coverage when needed.
  • Responsible for planning, scheduling, and materials for meetings, workshops and events; including agenda, minutes, PowerPoint, meeting packets, etc. for Management Technology Advisory Committee (MTAC), PowerSchool Liaison meetings, grant meetings, etc
  • Provide information and answer inquiries relating to routine questions of school operations and REMC SAVE.
  • Ordering stock; prepare and maintain purchase orders (including bid awards and toner cartridges); staff leave reports; daily travel; printing requests, and other MISD procedures originating within the department.
  • Presentation and distribution of departmental newsletters; bulletins; and other materials as requested, including website maintenance and ADA Accessibility.
  • Cross train with other department administrative assistant staff and assist with those duties during peak/overload periods.
  • Promptly and courteously handle inquiries from employees and visitors within the department.
  • Schedule appointments for Director and other professional staff as needed.
  • Maintain student and other school records and files.
  • Form rough draft or instructions: type forms, accounting and financial statements, letters, receipts, attendance reports, requisitions and other materials.
  • Prepare, maintain and process as appropriate all purchase orders, miscellaneous requests, etc. originating in and handled by the department.
  • Operate standard office machines and appliances incidental to clerical and typing assignments.
  • Perform other duties as appropriate and determined by department administrator(s) and/or his/her designee.

STARTING DATE: As soon as possible

WORK YEAR: This is a 12-month/year round position.

SALARY: See salary schedule of AFSCME Administrative Support Bargaining Agreement.
