Job Overview
As a Project Administrator, you will play a critical role in supporting MAD Energy NW's operations. You’ll
projects run smoothly from start to finish by coordinating schedules, communicating with customers, ma
permits, and tracking project performance. You’ll be a key point of communication between our team and client
ensuring each project is completed efficiently and meets our high standar
Key Responsibilities
Project Administrative Duties
- Pull permits and manage the inspection process for projects.
- Schedule utility disconnects/reconnects and dispatch electricians to job sites.
- Provide remote quotes for select projects with accuracy and efficien
- Receive incoming leads, dispatch technicians and keep the install schedule accurate.
- Work closely with project managers, electricians, and leadership to address project needs.
- Monitor lead volume and conversion ratios, track project progress and generate performance reports.
- Analyze data to identify trends and opportunities for improvement.
- Maintain organized project files and documentation using Google Workspace apps (Gmail, Drive, G Sheets, Calendar, etc.).
- Respond promptly and professionally to emails, calls, and other communication.
- Assist with general office tasks and event coordination.
- Must be able to prioritize and work with urgency when needed.
- Good communication skills and high responsiveness. MAD Energy NW has a 24-hour response policy.
Customer Communication
- Make regular calls to customers to update them on projectstatus, ensure satisfaction, and add
concerns.
- Follow up on leads to ensure a smooth customer experience and maximize conversion rates.
- Maintain clear and consistent communication with customers from project initiation through completion.
- Follow up after project completion to gather feedback and request reviews.
Additional Duties
- Learn the CRM system (to be adopted this year) and serve as the team’s expert.
- Train staff to use the CRM effectively to improve project tracking and client communication.
- Event Planning: Organize company events, team meetings, and training sessions.
Qualifications
Required:
- Experience in a similar administrative or project coordination role, preferably in construction, energy related industries.
- Proficiency in Google Workspace apps (Gmail, Drive, Docs, Sheets, Calendar, etc.)
- Strong organizational and time-management skills
- Excellent written and verbal communication skills, with a willingness to make calls and engage directly with customers.
- Ability to manage multiple tasks and prioritize effectively
- Familiarity with permitting processes and scheduling practices
- Proactive problem-solving skills and a customer-focused approach
- Strong attention to detail and accuracy
- Reliable transportation and a good driving record
Preferred:
- Experience in the energy, electrical, or construction industrie
- Knowledge of CRM systems or willingness to learn and implement a new CRM.
- Experience training staff or onboarding new technologies
- Event planning or coordination experience
