Job Summary: The Client Coordinator/Administrative Assistant will play a crucial role in ensuring the smooth operation of our office and providing exceptional service to our clients. This position requires a detail-oriented individual with strong organizational skills, a proactive approach, and a dedication to customer service.
Key Responsibilities:
- Client Interaction: Answer and direct phone calls in a professional and courteous manner. Serve as the first point of contact for clients, providing information and assistance as needed.
- Appointment Management: Schedule and manage appointments, ensuring all necessary preparations are made and confirming appointments with clients.
- Administrative Support: Assist with various administrative tasks including document preparation, data entry, filing, and maintaining organized records.
- Correspondence: Handle mailing tasks, including sorting and distributing incoming mail and preparing outgoing mail. Ensure timely and accurate communication with clients and other stakeholders.
- Office Maintenance: Maintain a clean and organized office environment, including common areas, meeting rooms, and workstations.
- Document Management: Make copies, scan documents, and ensure proper filing and storage of legal documents.
- Team Support: Assist attorney and other staff with special projects and tasks as needed, contributing to the overall efficiency of the office.
Qualifications:
- Customer Service: Strong customer service skills with the ability to interact professionally with clients and colleagues.
- Organizational Skills: Excellent organizational and time management skills, with the ability to prioritize tasks and follow up effectively.
- Communication: Strong verbal and written communication skills.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with office technology.
