Purpose of Position: Provide administrative and clerical support for year-round MSCR Youth and Adult Arts programs and staff and art camps.
Essential Duties And Responsibilities
- Develop a thorough understanding of MSCR programs (e.g. season calendars, facilities, fees, and registration procedures).
- Prepare, distribute and track pre-employment paperwork and contract agreements for part-time and seasonal staff. Process employee payroll and maintain and organize databases of seasonal employees.
- Provide customer service, information, and assistance to the public. Communicate with community members, staff, and supervisors via multiple communication methods (phone, email, website postings, mailings, walk-ins).
- Process program registrations & confirmations using ActiveNet and Google documents.
- Collect and deposit program fees, management of payments, and past due fees,
- Prepare correspondences, memos, forms, and program reports.
- Maintain accurate records and assist with data collection.
- Prepare materials and information for MSCR program guide
- Regular communication with supervisor/staff in a timely manner.
- Daily reception duties at MSCR East.
- Open and close MSCR East when assigned.
- Provide backup support for other MSCR Program Assistants.
- Provide clerical support as requested by MSCR Supervisor and Specialists.
- Work as part of the Fitness and Arts Team and assist with other duties as assigned in that department.
- Actively participate in team and department meetings and professional development.
- Three years of successful office experience or a combination of experience and formal training equivalent to three years.
- Proficiency with Microsoft Word, Google Suite, and Excel.
- Experience working cross-culturally and/or commitment to work towards improving one’s own cultural competence, i.e., valuing difference/diversity, recognizing personal limitations in one’s skills and expertise, and having the desire to learn in these areas.
- Experience working in database systems. Examples include: ACTIVENET, MUNIS,
- Bilingual in Spanish.
- Knowledge of MSCR and MMSD policies
- Ability to work with minimal supervision.
- First Aid and CPR certified within 90 days of hire. MSCR can assist with obtaining.
- Organizational skills and the ability to prioritize multiple tasks, work under tight deadlines, use effective time management, and work with interruptions.
- Ability and comfort level with learning new technology/software and HR processes.
- Ability to maintain accurate and confidential records.
- Ability to work independently and with efficiency.
- Knowledge of generally accepted recordkeeping practices.
