Position Overview:
This role is essential in ensuring the smooth operation of our office, handling billing and invoicing, answering phones, and managing calendars. The ideal candidate will be detail-oriented, professional, and comfortable juggling multiple tasks in a fast-paced environment.
Key Responsibilities:
- Assist with billing, invoicing, and basic financial tasks.
- Answer and direct phone calls in a professional manner.
- Manage calendars and schedule appointments for leadership and staff.
- Help organize and maintain office operations, supplies, and vendor coordination.
- Support the team with document preparation, filing, and data entry.
- Assist with internal communications and coordination of meetings.
- Ensure a welcoming and professional office environment.
Qualifications:
- Previous experience in an architecture or engineering firm is a plus but not required.
- Prior admin and office experience is required.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with billing and invoicing systems is a plus.
- Ability to work independently and collaboratively in an office setting.
