Job Duties :
We are seeking a highly organized and adaptable Administrative Assistant to support three executive directors within our organization.
The ideal candidate will be proficient in Microsoft Outlook, Excel, and Teams, and will excel in a dynamic, fast-paced environment.
This candidate will be adept at adjusting priorities and keeping up with shifting demands. This role requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
Key responsibilities :
Calendar Management : Efficiently manage and coordinate the executives' calendars, ensuring all appointments, meetings, and events are scheduled and updated.
Meeting Coordination : Schedule and organize meetings, including preparing agendas, taking detailed notes, and distributing minutes.
Meeting preparation : Ensure that all materials are available prior to key meetings and help with week-ahead preparation.
Expense Reports : Prepare and submit expense reports for the executives, ensuring accuracy and timely processing.
Event Coordination : Plan and coordinate team events, including logistics, catering, and communication with attendees.
Collaboration : Partner with other executive assistants within the P&C function to ensure seamless support and coordination across the team.
Adaptability : Embrace change and demonstrate agility in responding to shifting priorities and demands.
Skills :
Proficiency in Microsoft Outlook, Excel, and Teams.
Strong attention to detail and management across three different clients
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Ability to handle sensitive information with discretion.
Proven experience in a similar role supporting senior executives.
High level of adaptability and agility in a fast-paced environment.
Experience in the HR function or related field.
Education :
Bachelor's degree in Business Administration or a related discipline
