The Administrative Assistant helps facilitate the efficient operation of the Operations department and provides support to leadership by performing a variety of clerical and administrative tasks. The Administrative Assistant collaborates across all areas of Magnolia to help our clients thrive, grow, and recognize their hopes and dreams.
Essential Duties and Responsibilities:
- Receive and review van inspection reports; compile information and share with relevant parties to assist with vehicle maintenance and prioritization.
- Input information into and maintain STTARS database and timely submit related reports.
- Perform data entry and filing tasks for departmental files.
- Assist with preparation and submission of applications and renewals for various licenses.
- Collect information as requested from records, emails, minutes, and other documents; prepares written summaries of data when needed.
- Respond to and resolve administrative inquiries and questions.
- Answer and transfer phone calls, screening when appropriate or necessary.
- Welcome and direct visitors and clients.
- Receive, record, and distribute office mail and packages.
- Coordinate and schedule meetings and appointments for leadership.
- Prepare agendas for meetings; take minutes during meetings as requested.
- Copy and otherwise prepare reports for mailings, meetings, and other correspondence.
- Perform other duties as assigned
Requirements of the position:
- High school diploma or equivalent
- Administrative training required.
- Two years of administrative assistant experience preferred.
- Compliance, Human Resources, and/or STTARS experience ideal.
- At least 21 years of age
