GENERAL SUMMARY:
The Surgery Scheduling Manager is responsible for the oversight of the surgery scheduling team and to optimize the scheduling process for ophthalmic surgical procedures, ensuring efficient resource allocation, patient flow, and effective communication between team members and patients. The Surgery Scheduling Manager will oversee the training of staff to ensure all new and existing staff have been trained on all aspects of the role to perform their jobs effectively, including applicable medical record and practice management software applications, workflows, and patient experience.
ESSENTIAL DUTIES AND JOB RESPONSIBILITIES:
- Fosters a positive and successful working environment, creating partnership with providers, team members, and patients.
- Compiles, analyzes and identifies trends in daily statistical data as requested and presents data reports monthly to appropriate parties with guidance from practice leadership.
- Identifies areas for improvement in the surgical scheduling process and implement solutions.
- Develops and maintains standardized workflows for scheduling and patient flow.
- Manages and schedules all ophthalmic surgical procedures, ensuring optimal utilization of operating room time and resources.
- Manages patient pre-operative testing, clearances and instructions.
- Communicates effectively with patients regarding their surgery schedule, preparation and post-operative care.
- Ensures that insurance coverage has been verified, necessary prior authorizations obtained and patient financial responsibilities are collected.
- Monitors and tracks key performance indicators related to surgical scheduling.
- Resolves patient concerns, combining customer service skills, leadership, confidence and knowledge to ensure a positive, timely and effective solution.
- Travels to each location as necessary, but no less than once per month, to observe patient interactions, performance, etc.
SUPERVISORY RESPONSIBILITIES:
- Direct leadership of the assigned team members.
- Supervises and trains surgery schedulers and other relevant staff.
- Partners with Human Resources to attract, recruit and retain top talent to support the mission and vision of the organization.
- Ensures the team has the necessary resources and support to continue to meet/exceed goals.
- Establishes current and long-term goals for team members.

EDUCATION AND EXPERIENCE REQUIRED:
- High School diploma or equivalent, required.
- Minimum of three (3) years of relevant supervisory experience in ophthalmology, healthcare, or clinic setting, including one (1) year of experience in a surgery scheduling, preferably in ophthalmology.
EDUCATION & EXPERIENCE PREFERRED:
- Bachelor’s degree in healthcare administration, business or related field, preferred.
