WAGE INFORMATION: NEGOTIABLE BASED ON SCHOOL EXPERIENCE
EXECUTIVE SECRETARY TO THE SUPERINTENDENT QUALIFICATIONS: High School Diploma or higher, however, Associate’s Degree in Executive Secretarial Program preferred. Advanced training in secretarial skills including: typing, business machines, and filing; Experience in technology; Ability to deal effectively and courteously with administration, staff, students, and the general public; Demonstrate aptitude for the work to be performed; Maintain highest level of confidentiality at all times.
REPORTS TO: Superintendent
JOB GOAL: To provide effective, confidential, and necessary administrative services to the Superintendent of Schools.
SUPERVISES: None
PERFORMANCE RESPONSIBILITIES:
1. Daily email, filing, and mail
2. Maintain all personnel files for the District’s professional and non-professional employees, which includes, but is not limited to: District files including: reports submitted, applications, volunteers, student teachers, clearances, etc.
3. Certifying Officer for TIMS; Verify applicant’s information for a Level 2 certificate; Process emergency certificates; Verify years of service; Verify Seniority
4. Monitor all teacher and Act 93 certifications; Track college credits earned and process for reimbursement; Process, record, and verify Act 48 and Act 45 credits for professional staff and administrators; Track administrative and faculty evaluations
5. Complete necessary preparation for all Board Workshops, Regular Board Meetings, and Special Board Meetings; Attend board meetings and Workshops as required by the Superintendent; Transcribe and prepare minutes of all meetings; Compose and distribute monthly letters from Board meetings
6. Assist in recruitment procedures and correspondence with prospective personnel
7. Prepare advertisements for newspapers for help wanted, meeting notices and changes, etc
8. Right-to- Know contact person
9. Maintain up-to-date district policies; Submit policy changes to PSBA
10. Assist with updating policy administrative regulations
11. Assist with writing job descriptions
12. Process and maintain all field trips
13. Assist with audits; In conjunction with PIMS Coordinator, keep track of required monthly fire drills and bus evacuation drills for end-of-year report
14. Responsible for delivery and collection of Statements of Financial Interest from Board members, administrators, supervisors, and solicitor
15. Perform usual office routines and operate computers, calculators, and facsimile machines
16. Student-teacher contact person; liaison between colleges/universities and the District for student-teacher placement
17. Track all faculty and administrator evaluations
18. Assist with Comprehensive Plan
19. Notary Public for the District
20. Tracking of home bound and home-schooling students
21. Responsible for such other duties as may be delegated by the Superintendent or his/her designee.
PHYSICAL DEMANDS: Ability to reach above and below the waist; to use fingers to pick, feel and grasp objects; to use both hands for repetitive motion. Some bending, stooping and twisting of the body required; Ability to lift and/or carry supplies and/or papers weighing no more than 20 lbs.; Mostly sit with some standing or walking/moving throughout the work environment.
TERMS OF EMPLOYMENT: Twelve (12) months, 30-40 hours/week. Salary, work schedule and other conditions of employment in accordance with provisions of the applicable policies of the Mahanoy Area School District. Extra compensation of $100.00 per month for board meetings as approved at the school board reorganization meeting of December 11, 2008.
EVALUATION: Performance of this job will be evaluated annually in accordance with provisions of the applicable policies of the Mahanoy Area School District.
