Main Eco Homes is seeking a full time Reception and Finance Administration Assistant to manage phone lines and welcome visitors in a busy office setting. The desired candidate will be an organized, highly motivated individual who can handle multiple tasks in a fast-paced work environment.

MEH is an award winning, highly reputable, fast growing General Contractor/Designer/Builder in the Lakes Region, specializing in energy efficient residential and light commercial construction.

Overview:

The primary function of the Reception and Finance Administration Assistant is to welcome clients, employees, and visitors by phone and in person. Greeting with a positive attitude is a must. This position will provide direct assistance to the Finance Department.

Responsibilities:

-Operate a multi-line phone system, transferring calls and taking messages as needed

-Record and direct information for home inquiries to the preconstruction team

-Greet office visitors in a friendly manner

-Keep the waiting area clean and stocked with current advertising and reading materials

-Ensure appropriate music is playing in office at all times

-Process invoices by formatting, uploading and getting approvals.

-Assist with payables and receivables for multiple companies

-Perform accurate data entry of finance-related and other information

-Maintain and stock inventory of office supplies, such as printer paper and ink, trash bags and kitchen supplies, bottled water, company apparel, etc.

-Receive all packages and notify the appropriate party of delivery

-Organize and schedule meetings, appointments, and events

-Prepare conference room and sanitize according to company protocol before and after all meetings

-Provide and maintain all company vehicle registrations

-Assemble welcome baskets and order flowers for new homeowner turnovers

-Run office errands such as bank runs

-Other duties as assigned

Skills and Qualifications:

-Strong communication skills, both written and verbal

-Familiarity with business software such as Microsoft Office and familiarity with cloud-based software applications

-Excellent time management skills and ability to multi-task and prioritize work

-Attention to detail and accurate data entry skills

-Highly organized

Education and Experience:

-High school education, or equivalent

-QuickBooks experience (preferred)
