We’re expanding our administration team and are looking for a full-time Administrative Assistant with at least 4 years of experience. In this role, you will be the first point of contact for our clients, handle phone inquiries, support staff, organize projects, work with Excel, manage filing, and assist in creating office documents and marketing materials. We're looking for someone ready to tackle new challenges and embrace learning new technologies.
Bonus skills that will make you stand out: experience in marketing, social media, graphic design, bookkeeping, or IT.
Position Details:
- Type: Full-time (On-site in Livermore Falls office only)
- Experience: Minimum 4 years
- Hours: 8:00 AM – 5:00 PM (1-hour lunch)
Objectives of this role
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
- Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
- Coordinate internal and external resources to expedite workflow
- Oversee and achieve organizational goals while upholding best practices
Responsibilities
- Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
- Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets and forms
- Plan, organize, and schedule company meetings in the office, off-site, and via videoconference
- Maintain filing system, contact database, employee list, and inventory
- Order and oversee office supplies and food deliveries for group meetings
- Perform personal assistance to the Chief Executive Officer, such as scheduling, emails, and phone calls.
Required skills and qualifications
- High school diploma or equivalent
- Proven administrative experience
- Superb written and verbal communication skills
- Strong time-management skills and multitasking ability
- Aptitude for learning new software and systems
