We are a rapidly growing operation, and we are seeking a dedicated and detail-oriented Operations Manager to support our day-to-day administrative and operational functions. This role is essential to ensuring smooth business operations, compliance with regulatory requirements, and efficient coordination across departments.
Position Overview:
The Operations Manager will oversee and support various administrative aspects of the business, including inventory management, compliance reporting, financial tracking, marketing support, and HR coordination. The ideal candidate is a highly organized and proactive individual with strong multitasking abilities and a keen attention to detail. The following list summarizes the primary responsibilities for the role:
- DTD operations, ensuring KPIs are met across all departments.
- Staff hiring, particularly for post-harvest and cultivation teams.
- Staff training and compliance paperwork, ensuring we meet all requirements, while developing onboarding and departmental training.
- Order fulfillment and processing to keep operations running smoothly.
- METRC data entry and ensuring compliance with all regulations.
- Supporting sales, HR, finance, and marketing efforts on a larger scale to drive the company forward.
Key Responsibilities:
Operational Support:
- Manage and support all aspects of daily operations, including production schedules, standard operating procedure (SOP) updates, and logistics (shipping, receiving, and inventory control).
- Oversee and manage inventory of cultivation and facility supplies, ensuring timely ordering and restocking.
- Assist in the coordination of facility tours and customer visits, fostering strong relationships with dispensaries and vendors.
Compliance & Reporting:
- Ensure compliance with all Massachusetts state cannabis regulations, including METRC reporting and security protocols.
- Maintain accurate records of plant inventory, cultivation activities, and waste disposal.
- Prepare and submit required reports to regulatory agencies in a timely manner.
Financial Administration:
- Collaborate with accounting teams to ensure timely and accurate financial reporting, including monthly expense reports by department.
- Oversee accounts receivable collections, accounts payable, and payroll functions, ensuring accuracy and compliance.
- Assist in developing and managing facility budgets to ensure cost efficiency without compromising quality.
- Monitor operational expenses and identify cost-saving opportunities.
Marketing & Customer Relations:
- Support marketing initiatives by contributing to content creation for social media and campaigns.
- Manage the marketing calendar to ensure alignment with company goals and brand positioning.
- Serve as a point of contact for customer inquiries and assist in building strong business relationships.
Human Resources Coordination:
- Maintain up-to-date employee records, oversee onboarding processes, and conduct background checks.
- Serve as the first point of contact for HR-related inquiries, including scheduling interviews and supporting hiring managers.
- Ensure compliance with company policies and assist in keeping the employee handbook current.
Qualifications:
- Experience:
- 2 years of experience in office administration, business operations, or a related role.
- Experience with bookkeeping and payroll is highly desirable.
- Cannabis industry experience or familiarity with regulatory compliance is a plus.
- Skills:
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software such as QuickBooks.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Education:
- Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
- Equivalent work experience will be considered.
