Position Summary:
At Mainetti, we are looking for an Administrative Assistant to join our growing team in North Carolina. The ideal candidate will assist in all office functions and administrative activities for the company. Work directly with the Director of Operations to fulfill a variety of critical business tasks. This includes operating office equipment, answering or directing phone calls, communicating with customer or vendors, maintaining files, capturing data, generating reporting, business transactions and more. He/She will be responsible for employee activities in the office environment including organizing meetings, scheduling, training, and communication to staff. Be highly organized, detail oriented, and proficient with computer and business software.
Roles & Responsibilities:
- Provide information for visitors.
- Confer with coworkers to coordinate work activities.
- Send information, materials or documentation.
- Maintain files and records.
- Compile data or documentation and generate reports.
- Order office supplies
- Search files, databases or reference materials to obtain needed information.
- Prepare documentation for contracts, transactions, or regulatory compliance.
- Proofread documents, records, or other files to ensure accuracy.
- Schedule appointments.
- Data entry
- Record information from meetings or other formal proceedings.
- Transcribe spoken or written information.
- Make travel, accommodations, or entertainment arrangements for others.
- Maintain office equipment in proper operating condition.
- Other duties as assigned.
Qualification & Requirements:
- Associate Degree in Business Administration or similar field of study
- Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Administration and Management — Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods, and coordination of people and resource.
- Active Listening — Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Reading Comprehension — Understanding written sentences and paragraphs in work related documents.
- Speaking — Talking to others to convey information effectively.
- Writing — Communicating effectively in writing as appropriate for the needs of the audience.
