JOB DEFINITION
To perform a wide variety of landscape maintenance functions related to the daily performance of contracted services. This includes communication with the customer, planning and scheduling the services to be performed, and working alongside general laborer’s to complete tasks. The Operations Manager is also responsible for safety training, equipment maintenance, payroll reporting, completion of all services, gross margins, and reporting progress to the Branch Manager. Additional services may be required upon request of the Branch Manager . Responsible for managing a portfolio of landscape maintenance accounts for regular maintenance, water management, seasonal color, chemical and all aspects of landscape. Responsible for field quality control. Assists in training and advancement of crew members and leaders.
ESSENTIAL JOB RESPONSIBILITES AND DUTIES
The essential duties and responsibilities are listed below. Other duties may be assigned.
General:
- Be able to perform all responsibilities required of an Operations “Field Manager” plus those listed below.
Employees:
- Hiring and completion of all internal paperwork, including pay rates, PTO, and DOT physicals (where required)
- Responsible for weekly payroll and overtime of assigned employee,
- Scheduling of crews, equipment, and materials for work order completion
- Assigning and tracking uniforms, communication devices and computers
- Assuring new hires have completed all safety training prior to start date
- Documenting employee performance
- Assuring all certifications, licenses, or other documents are accessible as required by each governing authority
- Talent Management – Ongoing review and development of team members to develop a strong bench of internal candidates for future career growth opportunities
Training:
- Training of all responsible employees and their advancement
- Training of all responsible employees of company Pillars of Excellence (POE), Standard Operating Proceedures (SOP), and quality standards
- Assure all employees are achieving completion of Training Guides
- Assure all employees complete all required safety and equipment traning
- Training of crews to understand allocation of labor hours
- Training of all crews for driving safety, first aid, and emergency preparedness
Safety:
- Educate all employees of company safety policies and hold manadated tailgate meetings
- Assure crews are using proper Personal Protective Equipment (PPE)
- Assure equipment has all safety devices intact
- Track that all pre-start checklists are being done with vehicles and power equipment
- Inspect that all crews are equipped with first aid kits and fire extinguishers
- Accident/Injury reporting procedures and follow-up
Equipment:
- Assign what equipment is needed for jobs and that it is running properly.
- Monitor that all blades are being sharpened as required.
- Monitor that all maintenance of equipment is scheduled and being done regularly.
- Train crews and check that proper fuel mixtures are being used.
- Ensure that all crews are equipped with extra parts and tools for minor repairs on site.
Materials:
- Ordering and inventory of products and materials needed and used for jobs
- Training of crews for proper mix and application rates of chemicals.
MTA (Mobile Time Application):
- Setup of phones with MTA
- Training and tracking of hours in MTA
- Adjusting of hours and work orders in MT.
- Review daily time summary report with employees for weekly hours worked
Customer Service :
- Reporting, tracking and closing of Customer Service Requests(CSR’s)
- Completion of CSR’s within promised timeframe
- Communication with customers and Account Executives concerning CSR issues
- Keep customer service aware of any customer account changes, including accountability management
- Property walk throughs and community inspections
- Attend meetings with customers as requested
- Develop & maintain positive relationships with customers and board & committee members
Reports:
- Using “Accountability Review Guide” to know which reports to check, when to check them and where to find them
- Checking reports to track profitability and make production adjustments
- Use Unreconcilled report to close work orders that are complete but still open
- Give Weekly Service Reports to customers and Account Executives weekly or as requested
Finance:
- Responsible for end of month procedures like Work In Progress(WIP), Unreconciled and Show Me The Money(SMTM) to ensure monthly revenue is correct
- Responsible for tracking gross margins on jobs and communicating with Account Executives and Branch Managers of concerns in pricing or production
- Complete applicable vendor/subcontractor invoices from Accounts Payable with accurate job information so they may submit payment (IE: work order #, branch name, GL Account name, etc.)
- Responsible to provide accurate monthly additional unit counts on properties under development for invoicing
- Responsible for projecting labor, materials and other direct costs to the Branch Manager each month
Sales:
- Landscape proposals for Homeowners, Management Companies, Developers
- Plant replacement lists
- Monthly unit counts for invoice adjustments
- Photo documentation of properties
- Assist Account Executive in preparation of maintenance contracts
- Update customers with current landscape issues via preferred media
- Networking / Socializing
- Attend meetings as required by customers or Account Executive
- Assist in preparation of sales tools with Account Executive (mass mailings, Power Point presentations, etc.)

Qualifications
QUALIFICATIONS AND REQUIREMENTS

Age Requirements:
- Employee must be at least 18 years of age for general landscaping responsibilities and to operate power equipment, and meet all applicable state-mandated labor laws
Experience:
- Twelve (12) months of previous commercial experience as a crew leader, preferred but not required
- Has satisfactorily completed the prescribed “ Operations Manager” training guide and can perform those specified essential duties
Knowledge of:
- Technical skills in all areas of landscape maintenance such as mowing, trimming, pruning, edging, etc.
- Irrigation, tree trimming and chemical knowledge.
- Organizational skills that lead to an expert and timely completion of work by crews.
- Procedures required for the proper maintenance of trucks and equipment.
- General industry safety guidelines.
- This position is in environments that involve safety hazard regulated by such governmental agencies such as OSHA, EPA, Dept. of Transportation, and the State Chemist Office. In addition, this position needs to be knowledgeable on the regulations to help reduce the exposure of our sales staff giving incorrect information on our services, as well as exposure to all of the safety hazards.

Certificates, Licenses and/or Registrations:
- Valid driver’s license with required classifications and insurability based on company insurance requirements
- Smith Driving Certification
- RT license or ID card
- Maintenance of Traffic (MOT) cetification, where required
- Best Management Practices(BMP) certification, where required
- Basic First Aid and CPR certification
- Pesticide License, preferred
- OSHA 10 Hour
- DOT Medical Card (where required)
- AWARE Certification
Language Skills:
- Strong oral and written communication skills
- Strong reading comprehension
- Bilingual (Spanish) a plus
Physical Demands:
- While performing the duties of this job, the employee is regularly required to:

Working Conditions:
- Weekend or overtime hours as necessary.
- Odd hours are a necessity during inclement weather seasons, if applicable.
- Combination of office, shop, and field time, where this position is exposed to all of the elements. This includes all four weather seasons and all times of the day and night.
- The employee is occasionally exposed to fumes or airborne particles and toxic or caustic chemicals.
- The noise level in the work environment will vary depending on the assigned jobs, however, it is usually high and requires ear protection while operating equipment.
EVALUATION
Before an employee can advance to Branch Manager, they must have their Supervisor provide written verification of having completed the following:
- Employee may not have missed any days of work, unexcused by supervisor, within the previous 6 months .
- Employee has arrived before or at the time set by their Supervisor every day within previous 6 months.
- Employee has arrived to work in clothes fitting the Mainscape dress code policy every day within the previous 6 months
- Employee must have completed training for all applicable service categories (See Operations Manager Training Guide)
- Employee has demonstrated the ability to perform all essential job responsibilities and duties listed above.
- Employee must have the recommendation of their Supervisor to advance to the new position.
Salary : $63,000 - $75,000
