We will coordinate the resources a client needs, which will typically include traditional trust, investment advisory, estate planning, retirement planning, and private banking services. It is the goal of the Trust Operations Manager to enhance the client relationship by providing comprehensive assistance to the Trust Officers and Associates as they work closely with the clients.
The Trust Operations Manager is responsible for the overall coordination of daily operations for the Trust Department. The Trust Operations Manager implements and maintains operational controls for the Trust Department with a focus on transactional reviews, account and asset reconciliations, record keeping, and tax and portfolio accounting functions. The position requires a strong orientation towards operational efficiency, productivity, internal controls, compliance, and process improvement. The Trust Operations Manager must be able to operate effectively in a growth-oriented, team-focused, and transformational environment. Additionally, the Trust Operations Manager will assist the Trust Director with the execution of vendor due diligence reviews, risk analysis, oversight of annual tax return processing and other fiduciary compliance matters.

Primary Duties And Responsibilities
- Responsible for external regulatory and internal Bank compliance including preparation for all audits.
- Daily oversight of trust operations including, but not limited to, account opening, account closing, asset transfer, data entry and validation and cash disbursements.
- Responsible for daily reconciliation of the Trust Departments DDA’s (wire account and checking account) and report to the accounting department.
- Update and maintain Trust Services policies and written procedures.
- Ensure accounts are properly coded and review periodically for accuracy.
- Ensure accounts are titled correctly on the Trust accounting system.
- Ensure account fees are set up properly and processed monthly.
- Prepare and maintain a schedule for all accounts regarding tax requirements and manage tax preparation process.
- Review monthly financial statements/department bills/ contracts to ensure expenses/charges are correct.
- Process, clear, service and settlement of account transactions.
- Routine operational balancing and reconciliations of accounts and assets.
- Responsible for effective utilization of the Trust accounting system and serve as liaison with vendor.
- Identify and assess relevant risks and design, implement, and monitor controls to mitigate those risks.
- Resolution of transaction and custody exceptions.
- Process or approve secure wire transfers.
- Perform complex inquiries and research projects as needed.
- Manage open items and departmental payables/receivables.
- Ensure adequate due diligence and record keeping.
Minimum Qualifications
- Bachelor’s Degree
- 7 years of experience in a Trust Operations position
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
- Working knowledge of Trust accounting systems
- CTOP (Certified Trust Operations Professional) or CTFA designation is a plus
- Working knowledge of trust fiduciary law, trust tax regulations and investments
- Working knowledge of Regulation 9 administrative and investment review process
- Ability to interpret and apply trust provisions
- In-depth knowledge of trust and fiduciary services, accounting principles, trust taxation and regulatory requirements.
- Experience with system integrations and conversions is a plus.
