Maitsys Inc. is a fast-growing IT consulting and staffing firm specializing in SAP and cloud-based enterprise solutions. We seek a detail-oriented and proactive Administrative Assistant to support our executive team and staff in various administrative and operational functions.
Position Summary:
As an Administrative Assistant, you will play a key role in supporting the day-to-day operations of our Boston Seaport office. You will work closely with executives, sales, recruiting, and operations teams to ensure smooth office functions. The ideal candidate is organized, reliable, and thrives in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the executive team and department leads
- Assist with billing and invoice processing, including tracking payments and generating reports
- Support the recruiting team with scheduling, documentation, and candidate coordination
- Coordinate sales operations, including CRM updates, calendar management, and client correspondence
- Manage office supplies, vendor relationships, and overall office organization
- Assist with tracking and reconciling expense reports and receipts
- Maintain records and oversee contract documentation for internal and external agreements
- Help with managing projects
- Create and edit presentations, reports, and other documents using Microsoft Word, PowerPoint, and Excel
- Help plan and coordinate company events, meetings, and travel as needed
Qualifications:
- 2 years of administrative or office support experience (experience in billing, recruiting, or sales support preferred)
- Strong proficiency in Microsoft Office Suite: Word, PowerPoint, and Excel
- Excellent organizational, time management, and communication skills
- Ability to handle multiple tasks with a high degree of accuracy and attention to detail
- Comfortable working with confidential information and managing sensitive documents
- Proactive, resourceful, and a team player with a positive attitude
Work Environment:
- This is an on-site role based in our Boston Seaport office. Office hours are Monday–Friday.
