Position Summary:

We are seeking a highly skilled Executive Assistant to provide exceptional support to our CEO. The ideal candidate will be detail-oriented, proactive, and able to thrive in a fast-paced environment. This position requires superior written and verbal communication skills, discretion, strategic calendar management, and event planning expertise. The Executive Assistant must be comfortable handling multiple projects simultaneously while working with a dynamic executive team.

Key Responsibilities:

Executive Support to President and CEO

  • Manage and optimize the CEO’s complex calendar, ensuring efficiency.
  • Plan and schedule internal and external meetings (in-person and virtual via Teams/Zoom), prioritizing and filtering requests as needed.
  • Draft and edit professional correspondence, including donor and board communications, ensuring exceptional written correspondence in tone, spelling, and grammar.
  • Prepare, proofread, and ghostwrite materials for the CEO, ensuring clarity, professionalism, and alignment with the organization’s voice.
  • Serve as the primary point of contact for calls and emails, responding professionally and promptly.
  • Maintain the CEO’s contact system, networking calendar, and additional professional projects.
  • Provide detailed preparation for meetings, including agenda creation, reminders, action item tracking, and post-meeting follow-up.
  • Oversee the shared executive office inbox, ensuring timely and professional responses.
  • Organize external meetings, including attendee coordination, material preparation, and issue resolution.
  • Prepare, submit, and track all expense reports for the CEO.
  • Coordinate local and national travel arrangements, anticipating challenges and ensuring efficiency.
  • Support staff and leadership teams to ensure seamless communication and organizational alignment.
  • Plan and manage special projects as assigned by the CEO.

Executive Support to Board of Directors

  • Serve as the primary liaison between the executive office and the Board of Directors.
  • Plan and coordinate all annual board and committee meetings.
  • Organize and distribute meeting materials and other necessary documents.
  • Accurately take and maintain minutes for all board and committee meetings.
  • Handle all logistical needs, including AV setup, venue selection, catering, and meeting technology.
  • Maintain strict confidentiality regarding board communications and sensitive matters.

Qualifications & Experience:

  • Bachelor’s degree is strongly preferred but not required, with five to ten years of experience supporting C-Level executives, preferably in a nonprofit organization.
  • Exceptional written correspondence in tone, spelling, and grammar.
  • Flexibility in personal scheduling and ability to travel when needed.
  • Strong interest and passion for the organization’s mission.
  • High levels of proficiency in Microsoft Office programs, including Word, Excel, SharePoint, PowerPoint, and Outlook.
  • Technologically savvy with an understanding of how to leverage systems and technology tools to be productive and effective. Must be Teams proficient.
  • Strong work ethic and must possess the highest level of service, response, and professionalism.
  • Proven ability to handle confidential information with integrity, discretion, and confidentiality.
  • Exceptional judgment and decision-making abilities, with the ability to foresee potential problems and plan contingencies accordingly.
  • Excellent multitasking, organizational, and time management skills, with the ability to prioritize tasks and execute projects under deadline pressures.
  • Strong attention to detail and consistent accuracy when completing tasks.
  • Strong verbal, written, and interpersonal communication skills.
  • Demonstrated ability to prioritize conflicting demands, remain calm under pressure, and handle matters expeditiously and proactively.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Thrives in a team environment, is effective at building and maintaining collaborative relationships, acts in alignment with organizational values, and positively contributes to the organizational culture.
  • This role is in a professional office environment requiring regular in-office sedentary project work.
