Malace|HR is seeking a dynamic and dedicated Property Manager to oversee and maintain the physical environments of our managed commercial properties, ensuring both their aesthetic appeal and financial performance. The Property Manager will play a key role in property maintenance, tenant relations, budgeting, vendor management, and project oversight. This position requires a proactive approach to enhancing tenant satisfaction, operational efficiency, and maintaining high standards for property upkeep.
Key Responsibilities:
- Tenant & Owner Relations: Maintain a consistently high level of service and responsiveness to tenants and owners, ensuring their needs are met promptly and professionally.
- Tenant Coordination: Oversee tenant move-ins and move-outs, conduct walk-throughs, and manage tenant interactions throughout their lease term.
- Cost Containment & Financial Oversight: Identify cost containment measures, manage budgeting and expenditure control, and prepare annual budgets, forecasts, management plans, monthly financial reports, and variance reports with clear explanations for variances.
- Property Maintenance & Enhancements: Maintain and enhance the interior and exterior appearance of the properties by managing internal teams and service providers. Strategically plan capital improvements while maintaining attention to detail.
- Site Inspections & Preventative Maintenance: Perform regular site inspections, ensuring adherence to preventative maintenance schedules, as well as compliance with Fire and Life Safety processes.
- Vendor Management: Oversee vendor relationships, ensuring contracts are effectively managed, and hold vendors accountable to high standards. Seek out new vendors who are dependable, cost-effective, and meet our quality expectations.
- Operational Excellence: Ensure compliance with property management operational policies and procedures, mitigating risk through proper documentation of management and supplier agreements.
- Team Leadership & Training: Manage, train, and oversee staff assigned to properties (e.g., day porters and service technicians) to ensure all tenant requests and work orders are handled in a timely and professional manner.
- Safety Compliance: Ensure adherence to MIOSHA/OSHA requirements, monitoring upkeep and compliance with Safety Manuals.
- Project Management: Manage tenant improvement and common area improvement projects, ensuring timely and efficient execution.
Educational & Experience Requirements:
- Proven experience in delivering excellent customer service, both internally and externally.
- In-depth knowledge of building systems (HVAC, Electrical, Plumbing, Fire & Safety).
- Strong experience with financial reports and the ability to perform financial analysis.
- High energy, with a consistently positive attitude and a focus on team collaboration.
- Excellent oral and written communication skills.
- Proficiency in various computer software applications related to business practices.
- A Bachelor's degree is preferred; however, relevant experience may be considered in place of a degree.
- Evidence of continuing education in property management or related fields is a plus.
