Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our District Manager with various administrative tasks. The ideal candidate will possess strong computer skills, excellent time management abilities. This role is crucial for ensuring smooth office operations and providing exceptional service to both internal teams and external clients.
Responsibilities
A/P duties include paying monthly invoices and credit cards
A/R duties include requesting funds from OWEB and other customers
Run P&L report, 3-month payroll report, employee sick/vacation report, board bank balance report, monthly grant balance report and Treasurer’s report (Quickbooks).
Complete Bank Reconciliations and Credit Card Reconciliations monthly and present the Board Bank Balance worksheet at the monthly board meetings.
Do quarterly mileage reports and GJE
Prepare for yearly CPA audit by pulling and organizing records by date.
Filing as needed
Update Grant spreadsheet as needed.
Backup QuickBooks weekly
Shredding and general office duties
Send monthly Board Meeting Agenda to email list, Argus Observer Editor and post on the website.
Attend monthly Board of Director’s meetings, committee meetings and Executive sessions
Prepare meeting agendas, correspondence, and financial reports to include monthly Board Meeting packets
Type and distribute meeting minutes.
Maintain binders for meeting minutes, handouts, and correspondence.
Email approved meeting minutes to appropriate people.
Prepare Monthly Staff Report for Board meeting.
Preparation for the Annual Meeting (per ODA guideline). Duties include report
preparation, printing, and purchasing snacks.
Assist with Annual Work Plan as needed.
Keep Binders updated for Resolutions, Annual Reports, Budget, Annual Work
Plans etc. by purging old documents, communications and binders as allowed per Secretary of State Retention Schedule.
Other duties as assigned.
Experience
- Previous experience as an Administrative Assistant or in a similar clerical role is preferred.
- Familiarity with QuickBooks is a plus but not mandatory.
- Strong typing skills with attention to detail are essential.
- Excellent proofreading skills to ensure high-quality documentation.
- Demonstrated ability to manage time effectively while handling multiple tasks in a fast-paced environment.
