Job Summary:
We are seeking an efficient, organized, and customer-focused Groups and Party Coordinator to assist in supervising a team of party attendants and customer service employees. This position is vital to ensuring that each group and party experience is seamless, enjoyable, and safe. As the Groups and Party Coordinator, you'll handle the day-to-day operations, assist guests, handle event preparations, and help train team members. Strong communication skills, time management, and customer service expertise are essential to succeed in this role.
Key Responsibilities:
Event & Party Management:
- Oversee the set-up and tear-down of party areas before and after events to ensure smooth transitions and guest satisfaction.
- Ensure that all necessary event and party supplies, including paly cards, are ready before parties and groups arrive.
- Assist guests with questions, concerns, or special requests related to groups and parties.
- Confirm group/party bookings and details two weeks prior to the event to ensure accuracy.
Customer Service & Communication:
- Handle money transactions efficiently and maintain an organized and clean party desk area.
- Provide clear and effective communication with guests and team members, ensuring everyone is on the same page.
- Assist guests at the party desk by providing information on group packages, party services, and upcoming events.
- Address any customer inquiries or issues to maintain a high level of satisfaction.
Staff Supervision & Training:
- Help train and mentor Groups & Party Attendants to ensure they’re equipped to assist guests and manage events smoothly.
- Coordinate staffing needs with managers, ensuring proper coverage for events.
- Run or assist with large group events, ensuring all staff are aligned and the event runs smoothly.
Administrative Duties:
- Ensure event invoices are updated and filed correctly, and email updated invoices to customers.
- Manage and pay off tabs in the CenterEdge system, ensuring accuracy.
- Maintain an inventory of group supplies and communicate needs to the manager.
Safety & Compliance:
- Maintain a safety-focused attitude and ensure that all team members follow safety protocols during events.
- Be on-call for special projects, holiday events, or urgent tasks as needed.
Education, Qualifications, and Experience:
- Must be at least 18 years of age.
- High school diploma or GED, or an equivalent combination of relevant education and experience.
- Must be available to work weekends and holidays.
- Prior experience in customer service or event coordination is preferred.
- Strong multitasking skills and the ability to manage multiple tasks simultaneously.
- Excellent attention to detail and organizational skills.
- Ability to accurately count and handle money transactions.
- Strong teamwork ethic and a positive attitude.
Physical Demands:
- Must be able to stand for extended periods of time.
- Ability to lift up to 40lbs unaided.
- Be prepared to engage in active physical tasks, including assisting with party setup and teardown.
