The Traffic and Documentation Supervisor oversees the documentation processes for importing goods, ensuring compliance with regulations and accurate record-keeping.
Duties And Responsibilities
- Track and trace shipments in route via air, ocean, rail, and truck.
- Update operating system with associated milestones and events, including ETA, and changes to shipment details as notifications are received
- Pre-alert & dispatch shipments to domestic transportation provider
- Ensure timely release and availability of cargo
- Report delays to management
- Review shipment arrival notices, notifications, pick up numbers
- Coordinate pick-up and delivery with transportation providers
- Open import shipment records in operating system, including bill of lading and various shipment details
- Upload and distribute shipment arrival notices, notifications, pick-up numbers
- Manage email and other correspondence, sorting and prioritizing based on message and shipment type/status
- Update any changes to shipment details as notifications are received
- Identify and develop ways to improve current operational processes that meet Company Corporate Compliance, Training standards and SOPs and customer SOP requirements.
- Delegate tasks and project work within the team and provide hands-on support to meet fluctuating volume and staffing levels.
- Bachelor's Degree in Business or Logistics preferred, but not required.
- Minimum 3-5 years of Import Air/Ocean experience at a supervisory level.
- Advanced understanding of industry terminology, government regulations, and operational processes related to international shipping both ocean and air transport modes.
- Excellent organizational, time management, attention to detail, and problem-solving ability
- Ability to work effectively with a variety of individuals to complete work accurately, thoroughly and on tight timelines to best serve customer needs
