M & N Advisory Services LLC is a multi-generational family office which provides various financial services to its constituents. Services include tax preparation, trust administration, foundation administration, bill-paying, checking account reconciliations, brokerage account reconciliations, general ledger postings, financial statement preparation, estate planning, and numerous other services. Our constituents choose which services they require.
Job Description
The Bookkeeper position has the following requirements:
• Background and Experience
- Must be proficient in double-entry accounting, including
- Chart of accounts (i.e. assets, liabilities, equity, revenue, expenses, etc.)
- Trial balance
- Financial statements, including Balance Sheet and Income Statement (we will train the formatting procedure on our software)
- Must have experience in bank account reconciliations
- Experience in brokerage account reconciliation preferred (otherwise we will train)
- At least five-years’ experience as a bookkeeper preferred
- Excellent communication skills, both verbal and written, with proper grammar, including
- E-mails to various financial professionals and constituents
- Telephone etiquette
• Responsibilities
- Bill paying using the check-writing feature of our general ledger software
- Wire transfer preparation as required
- Bank account reconciliations and posting to general ledger
- Brokerage account reconciliations and posting to general ledger
- Preparation of financial statements as required (monthly, quarterly or other)
- Must be thorough and detail-oriented with great organizational skills to:
- Prepare repetitive wire transfers so they are executed on time
- Pay bills and invoices – timely and ongoing
- Become familiar with and manage the task of check-writing specific to each constituent for whom we pay bills
- Communicate with account managers (i.e. low cash balances, upcoming trust distributions, G/L posting schedule, etc.)
- Maintain an effective calendar and tickler-system to make sure routine tasks are performed timely
- Be aware of the daily, weekly, monthly, quarterly and annual work routines to effectively assist the account managers
- Maintain records by filing and scanning
- Contribute to the team effort by accomplishing related results as needed
- Maintain constant confidentiality of constituent information
