Summary:

This position is responsible for all reception and front office related items, feed and herd software management, medicine inventory, cattle inventory, feed inventory and dry matters, and scale management. Position will also deal with employee issues relating to time clocks, drug testing, payroll checks, and new employee documentation.

Responsibilities:

Office management

  • Answer telephone and assist any walk-in traffic
  • Collect and sort mail and prepare and send outgoing mail daily, organize bills according to company
  • Scan organize and scan invoices into approval program and review for accuracy
  • Keep office clean and organized and stocked with supplies as needed

Inventory Management

  • Collect Bill of Ladings daily and match to scale weights, invoice, review for accuracy
  • Monitor EZ Weights and ensure accuracy during harvest
  • Maintain records of all cattle received, shipped, or deceased
  • Pull fuel reports monthly for review and deductions
  • Maintain records of all feed received, reconcile monthly feed inventories with feed use
  • Review titled vehicle list and ensure licensing is updated, maintain correctness of master equipment list and assure insurance cards are present in each vehicle

Employee records

  • Enter new employees into time clock system and fuel system; remove of terminated employees from clock system and fuel system
  • New employee drug testing
  • Random drug testing completed on a monthly basis

Feed Records

  • Check feed management and scale hardware for issues, including printer
  • Gather silage moisture samples and update into feed spreadsheet, as needed
  • Manage monthly feeder reports and time of feeding reports under direction of feed manager
  • Review Feedlot Manager software daily for incomplete loads, and input incoming loads to inventory spreadsheets

Cattle treatment records

  • Ensure all treatment records are entered by the ranch hands and are up-to-date at end of billing cycle
  • Manage medicine and vaccine inventories

Required Skills:

  • Must become efficient in Feedlot Manager and EZ Weights programs
  • Knowledgeable in Word, Excel
  • Organizational skills
  • Ability to multi-task
  • Must maintain confidentiality in all aspects of business
  • Spanish speaker a plus but not required

Job Type: Full-time

Pay: $16.00 - $22.00 per hour

Expected hours: 40 – 60 per week
