We are currently seeking an Office Manager to oversee daily operations, HR and financial responsibilities, supervise office staff, and ensure exceptional customer service.
Job ResponsibilitiesOffice Management & Administration
- Oversee daily office operations, ensuring efficiency and organization.
- Supervise and provide guidance to office staff to ensure productivity and accountability.
- Maintain company records, job files, and compliance documentation.
- Implement office policies and procedures to streamline workflow.
Customer Service & Client Relations
- Ensure that all customer inquiries, calls, and service requests are handled professionally and efficiently.
- Oversee customer service policies to maintain a high standard of client satisfaction.
- Assist in resolving customer complaints and escalations in a timely manner.
- Coordinate with field service teams to ensure smooth scheduling and job completion.
Human Resources & Employee Relations
- Oversee payroll processing, employee records, and benefits administration.
- Assist with recruitment, hiring, onboarding, and training of office staff.
- Ensure compliance with employment laws and company policies.
- Foster a positive and professional workplace culture.
Financial & Accounting Duties
- Assist with invoicing, accounts payable/receivable, and financial reporting.
- Reconcile bank statements and track company expenses.
- Work closely with external accountants and financial teams.
Training & Staff Development
- Train and mentor new office staff on company procedures and customer service standards.
- Provide ongoing professional development and support for office employees.
- Ensure office personnel are knowledgeable about compliance and safety standards.
Qualifications
- Experience: Minimum 3-5 years in office management, preferably in the construction or service industry.
- Leadership: Experience supervising and training office staff.
- Customer Service: Strong background in handling client relations and resolving issues.
- Technical Proficiency: Experience with QuickBooks, Microsoft Office Suite, and CRM software.
- HR Knowledge: Familiarity with labor laws, payroll processing, and employee relations.
- Financial Acumen: Experience managing budgets, invoices, and basic accounting.
- Communication: Excellent verbal and written communication skills.
