JOB DESCRIPTION: Under the direction and supervision of the Chief Public Defender, performs a variety of secretarial and clerical duties to ensure the timely flow of all necessary paperwork to support the operations of the Regional Public Defender’s Office. Types a variety of documents, enters case information into the computer system and performs a variety of related tasks. Aides with the processing of criminal files, which includes reviewing, processing, and filing all documents related to such cases. Communicates daily with a variety of people from divergent backgrounds both verbally and in writing. The position will be open until filled and will be contingent on the continuation of funding.

ESSENTIAL JOB RESPONSIBILITIES/FUNCTIONS: * Performs a variety of secretarial and clerical duties to ensure the timely flow of all necessary paperwork to support the operations of the Regional Public Defender’s Office. * Answers and responds to calls, emails, and routine letters; direct inquiries to the appropriate person(s); assists people at the counter. * Manages schedules and calendars; arranges, coordinates, and schedules meetings; prepares meeting documents; coordinates conferences; makes travel arrangements for office personnel. * Inputs and extracts data from case management system; occasionally compiles statistics along with Chief Public Defender as needed for reports required by MIDC/LARA. * Processes monthly bills on a bi-weekly basis and submits the same to administration for payment. * Opens and processes a variety of criminal case, includes typing forms, filing papers, entering case information on the computer, and ensuring case scheduling and the service of process. * Types, formats, proofreads, and produces final copies of a wide variety of reports and documents; transcribes from verbal instructions, phone recordings, text messages, mobile devices and/or other machine recordings. * Reviews drafts for punctuation and grammar and suggests corrections. Independently composes letters and memorandums. * Able to maintain confidentiality with highly sensitive information and ensure confidential information is being stored in an appropriate manner consistent with the law and Rules of Professional Conduct. * Required to perform all basic general office duties including mail acceptance and distribution and office cleanliness. * Fulfills other secretarial duties as assigned by the Chief Public Defender. REQUIRED
EDUCATION, TRAINING AND EXPERIENCE: Experience: Associate’s degree in secretarial science or criminal justice and at least one year of paid fulltime secretarial/clerical experience; or a high school diploma or GED and three years of paid fulltime secretarial/clerical experience. Physical: Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audiological appliances and devices to increase mobility. Other: Must be able to multi-task and work under stressful and distracting conditions. Must have the ability to operation technology to search, update, correct and retrieve information. Must successfully pass a pre-employment background check. Must maintain regular, reliable, and predictable attendance. Possession of a valid driver’s license and access to a vehicle required.
