Job Summary:
This position serves as support to the counseling center, library and the main office. This position represents the school in communicating information, problem solving, record keeping, and meeting the needs of students, staff and the public. This position provides for a well-organized, smoothly functioning media center environment in which teachers and students can take full advantage of available resources, and provide support of media and digital resources, answer technology-specific questions, and maintain technology. This position works three and one-half (3.5) hours per day in the counseling center and three and one half (3.5) hours per day in the school library; up to 190 days per year; approximately five (5) days prior to the start of the school year and five (5) days after the close of the school term, at the discretion of the building principal.
Essential Job Functions of Counseling Secretary:
1. Serves as a guidance office receptionist as well as the library and greets students, staff and other visitors
2. Develops effective working relationships with people with the ability to be empathetic and shows patience with parents, students and staff
3. Assists with schedule changes and attendance in student management system
4. Makes and receives telephone calls, takes messages, routes calls
5. Receives medication training to administer medication to students
6. Contacts parents and students regarding missing information on various forms and records
7. Schedules student conferences with counselors, school nurses, social workers, and other staff as needed
8. Coordinates new student orientation meetings and provides materials
9. Maintains materials to be given to new students enrolling during the school year
10. Reviews and updates materials related to student leaders
11. Maintains and records changes in student schedules and cumulative records including test scores, report cards, and medical excuses
12. Maintains immunization records and prepares report to be submitted to the district attorney
13. Maintains list of students who have not completed a health form
14. Administers medications to students as needed
15. Schedules and sends out parent letters and passes to classroom for every 8th grader for 4 year plan meeting, organizes documentation and student records for meetings
16. Charts and updates discipline referrals
17. Assists with registration for new and returning students and scheduling students individually for registration
18. Reviews, updates and processes requests for cumulative records for students who are entering, transferring or withdrawing from school
19. Coordinates daily structured lunch support for students
20. Types announcements daily into an electronic sign for students and staff
21. Operates office equipment in a proper and responsible manner
22. Maintains the District’s standards relative to confidentiality of information about students and school related concerns
23. Performs other duties as assigned by the building principal
Essential Job Functions of LIbrary Media Technician:
1. Assists as needed in the supervision, operation, and troubleshooting of student computers and the availability of adequate assistance in the library. Responsible for management and simple troubleshooting and repair of Chromebooks including completing Webhelp tickets, checking out loaners, disinfecting Chromebooks/Computers as needed, maintain printers by replacing toners and simple troubleshooting. Responsible for being on call for classroom technology troubleshooting.
2. Maintains proper student conduct in the library to which it is assigned.
3. Under the direction of Library Media Specialist, orient mid-year transfer students to the use of the library and/or assists students in locating library material for research, individual, and recreational reading.
4. Helps maintain automated circulation system, shelves library material; arranges for and distributes interlibrary loan material; digitally sends students overdue notices to homeroom teachers and/or parents.
5. Assists in weeding obsolete and/or replacing worn library materials; assists in ordering needed library supplies, simple book repairs, etc.; takes library inventory of library resources.
6. Assist in any other duties or tasks that may be necessary to operate an efficient and effective school or may be assigned by the principal.
7. Maintains the District’s standards relative to the confidentiality of information about students and school related concerns.

Ability to effectively attend to multiple tasks at one time while maintaining a calm disposition. Ability to perform duties with awareness of all District requirements and Board of Education policies.
