Position Overview:
The Public Housing & State Programs Coordinator will oversee State public housing programs including AHVP, MRVP, elderly, non-elderly disabled, and family housing, The role requires the efficient administration of State Public Housing and other subsidy programs in compliance with State regulations and Housing Authority policies. Reporting directly to the Executive Director, this position provides management, leadership, and oversight to ensure that housing needs are met, and programs are effectively managed.
Primary Duties and Responsibilities (include, but are not limited to):
- Time-stamp all incoming correspondence.
- Address calls from tenants and the general public regarding tenant-related issues and the housing application process.
- Monitor and manage CHAMP waitlists, ensuring proper applicant screening and updating of applicant information.
- Determine eligibility and process applications for AHVP, MRVP, Public Housing, and other State-funded programs.
- Oversee the leasing and continued occupancy process for all Housing Authority properties.
- Maintain accurate manual and electronic records. Prepare documentation for annual audits.
- Handle new lease-ups, move-outs, and vacancy reporting.
- Ensure adherence to State regulations and Housing Authority procedures for annual and interim re-certifications.
- Oversee the maintenance of Public Housing files, including updates, purging, and proper storage.
- Prepare formal notices and written correspondence to tenants and external agencies.
- Maintain consistent office hours, breaks, and lunch schedules.
- Document and report tenant complaints to the Executive Director and Resident Service Coordinator.
- Enforce lease agreements and residency requirements.
- Coordinate administrative and maintenance staff for annual apartment inspections, ensuring follow-up on work orders and failed inspections.
- Track and ensure the timely completion of work orders, producing monthly reports.
- Maintain a professional, supportive relationship with residents, coworkers, the public, and external agencies.
- Adhere to all established policies and procedures.
- Perform other duties as assigned by the Executive Director.
Qualifications:
- Proven experience in public housing, administration, or related field is preferred.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks in a fast-paced environment.
- Experience with public housing software (CHAMP) and other database systems is a plus.
- Knowledge of housing programs and State regulations is desirable.
- Strong organizational skills with attention to detail.
- Must be able to maintain confidentiality and handle sensitive information appropriately.
- Must possess a professional demeanor and ability to work with diverse populations.
