Job Summary
We are seeking a highly organized, proactive, and customer-focused Administrative Assistant to provide comprehensive support to the President of the company. This role will involve a variety of administrative work, handling sensitive information, and assisting with customer service tasks. The ideal candidate will be detail-oriented, able to multitask in a fast-paced environment, and possess excellent communication skills, with a strong ability to interact with clients, stakeholders, and employees in a professional and courteous manner. A key part of this role will be ensuring a seamless flow of operations while maintaining high standards of customer service and supporting the President in achieving company goals.
Responsibilities - Administrative
- Provide general administrative support, including filing, maintaining records, and processing expenses.
- Manage daily, weekly, and monthly reports
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files
- Help with preparation of accounts payable and receivable files
- Screen and direct phone calls, emails, and other communications, ensuring timely and accurate responses.
- Handle confidential information with discretion and integrity.
- Remove all admistrative work from the Presidents daily operations
Responsibilities - Customer Service
- Provide support to customers who need additional documents like invoices or want to check order status
- Help with lost and damaged shipments and file claims
- Monitor various email accounts and handle the emails or redirect to the correct person
Requirements
- Proven experience as an administrative assistant or in a similar role preferred.
- Strong computer literacy skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Demonstrated time management abilities to meet deadlines in a fast-paced environment.
- Exceptional phone etiquette and interpersonal skills for effective communication with clients and colleagues.
- Attention to detail in all aspects of work, particularly in proofreading documents.
