This Administrative Assistant role serves as the main source of administrative support for the Maintenance Director as well as the rest of the Maintenance Department including leadership and hourly employees. This role will assist with any and all administrative support.
Responsibilities:
- Serves as the Administrative Assistant for the Maintenance Department completing a variety of administrative tasks, including ordering office supplies, to assure the efficient operation of the office on a day-to-day basis in a professional and confidential manner.
- Manages controlled documents for the Maintenance Department.
- Updates, edits, and manages the department SharePoint website.
- Scans and uploads MI Quality documentation from the Maintenance Craft shops.
- Schedules meetings for the Maintenance Director and arranges catering when necessary.
- Helps organize and participates in community engagement opportunities both internally and externally the refinery.
- Participates in special projects as assigned.
- Strong Communication Skills: Ability to communicate effectively both verbally and in writing.
- Organization and Time Management: Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities.
- Proficiency in Microsoft Office Suite: Experience with Word, Excel, PowerPoint, and Outlook.
- Strong Problem-Solving Skills: Ability to identify and resolve issues in a timely and efficient manner.
- Professionalism and Interpersonal Skills: Ability to interact effectively with colleagues, clients, and vendors.
- Completion of a 2-year Associate’s or a 4-year Bachelor’s Degree is preferred.
