Job Title: Front Office Administrative Assistant
Location: Texas Hill Country

We’re seeking a Front Office Admin who is highly organized, has excellent communication skills, and is passionate about providing outstanding customer service.
Position Overview:
The Front Office Admin will serve as the central hub for our office operations. This role requires multitasking, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Serve as the first point of contact for clients via phone (handling 5 incoming lines), in-person, or online, providing a welcoming and professional experience.
- Manage incoming calls, route messages accurately, and ensure smooth communication throughout the office.
- Prepare, print, package, and send tax returns, and collect signatures and payments in person or via electronic means.
- Handle light collections for past-due payments and maintain accurate records.
- Manage mail by scanning, routing documents to the appropriate departments, and shipping items via USPS with certified return receipts.
- Maintain office organization, including managing supplies, keeping common areas clean, and running occasional office-related errands.
- Utilize various software and tools, including Microsoft Word, Excel, proprietary software, Google Calendar, ScanSnap, Zoom, Adobe PDF, and office copiers.
- Support the team with additional administrative tasks as needed.
Requirements:
- High school diploma or equivalent required.
- Strong dependability and punctuality.
- Proficiency in Microsoft Office and general computer literacy.
- Excellent multitasking skills and the ability to work efficiently in a fast-paced environment.
- Bilingual abilities are a plus.
- Prior customer service experience (1 year preferred).
- Must pass a background and credit check.
Schedule:
- Full-time, Monday–Thursday, 8:30 AM–5:00 PM, Friday 8:30 AM–4:00 PM.
- Extended hours and rotating Saturdays are required during tax season.
Compensation and Benefits:
- Hourly pay: $18.00–$20.00 per hour, based on experience.
