Job Summary
The Procurement / Parts Manager is responsible for overseeing the procurement and inventory management of parts, equipment, and supplies essential for the efficient operation of a paper pulp manufacturing facility. This role ensures the availability of critical materials to support production, maintenance, and operational needs while optimizing costs, supplier relationships, and inventory accuracy. The manager collaborates closely with maintenance, production, and supply chain teams to ensure seamless operations and minimal downtime.
Key Responsibilities
Procurement & Inventory Management
- Oversee the procurement of spare parts, equipment, and consumables for pulp mill operations, ensuring timely availability to support maintenance and production schedules.
- Develop and manage supplier relationships to ensure quality, cost-effectiveness, and timely delivery of materials.
- Evaluate and negotiate contracts, pricing agreements, and terms with vendors to achieve optimal cost savings.
· Proficient in utilizing ERP systems to monitor inventory levels, manage purchase orders, and forecast demand for critical spare parts; experience with Syspro is a plus.
- Monitor stock levels and implement strategies to minimize excess inventory while preventing shortages that could impact production.
Supplier & Vendor Management
- Identify and qualify reliable suppliers for key materials, ensuring compliance with industry standards and company policies.
- Maintain strong supplier relationships to improve lead times, resolve supply chain disruptions, and enhance procurement efficiency.
- Conduct supplier performance evaluations and implement corrective actions for non-compliance or underperformance.
Operational Efficiency & Cost Control
- Continuously review and optimize procurement processes to improve efficiency and cost-effectiveness.
- Implement best practices in inventory management to reduce waste and improve utilization.
- Work closely with the maintenance and engineering teams to anticipate parts and equipment needs for preventive and corrective maintenance.
- Drive initiatives to improve procurement workflows, including automation and digital tracking solutions.
Compliance & Reporting
- Ensure all procurement activities comply with safety, environmental, and regulatory standards applicable to the paper pulp industry.
- Maintain accurate procurement records, including purchase orders, invoices, supplier agreements, and inventory logs.
- Prepare reports on procurement performance, cost savings, supplier efficiency, and inventory trends for senior management review.
- Assist in the annual physical inventory audit and reconciliation processes.
Qualifications & Experience
Required Skills & Competencies
- Strong understanding of procurement and inventory management principles, particularly in a manufacturing or industrial environment.
- Experienced in using ERP systems, inventory tracking software, and the Microsoft Office Suite, with specific expertise in Syspro is a plus.
- Strong analytical and problem-solving skills, with the ability to identify cost-saving opportunities and efficiency improvements.
- Effective negotiation and communication skills for managing supplier relationships.
- Ability to work in a fast-paced, high-pressure environment and make decisions that support operational efficiency.
- Detail-oriented with strong organizational and multitasking abilities.
· Possesses forklift operation experience or the ability to obtain a forklift certification.
Education & Experience
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field (or equivalent work experience).
- 5 years of procurement experience in a manufacturing environment, preferably in the paper pulp or related heavy industrial sector.
- Experience managing spare parts inventory and vendor contracts in a maintenance-driven industry.
- Prior experience in pulp & paper, chemicals, or industrial manufacturing is strongly preferred.
