Summary
The Warranty Administrator is responsible for reviewing and completing vendor warranty claims and defective merchandise. This role prepares, records, and reconciles warranty claims and submits related information to appropriate parties.
Essential Job Duties
Warranty
  • Responsible for processing vendor warranties.
  • Demonstrates proficiency in vendor online warranty entry systems.
Defectives
  • Coordinates returns of defective merchandise, including packing, labeling, and shipping.
  • Processes and coordinates field scrap as directed.
Technical
  • Manages the return goods queue – defectives.
  • Accurately performs purchase order entry and dealer credits (labor, parts, etc.).
  • Performs vendor claim entry for defective parts
  • Supports technical support staff with dealer labor claims entry and unit replacement submittals in vendor warranty systems.
  • Acts as a liaison between vendor and customers to resolve product registration issues
  • Submits requests for serial number loads & warranty term changes. Performs any follow-up work to get a resolution. Communicates resolution or submits a request for more information to customer, branch, and Territory Manager as necessary.
General
  • Communicates issues in a professional and courteous manner with vendors, branch staff, and customers as needed.
  • Communicate any change in vendor warranty terms and conditions to the supervisor
  • Communicates with third-party shipping companies as needed.
  • Handles purchase order receiving.
  • Assists with monthly accounts payable statements as needed.
  • Assists accounts receivable with customer credit discrepancies
Other
  • Maintains proficiency with company computer systems in aspects related to job, such as data entry, messaging, call logs, data notations, queue updates, batching, or other job & office functions and requirements

Minimum Job Requirements
  • High School diploma or its GED equivalent
  • 1 year or more experience with office, warehouse, and related functions.
  • Demonstrated knowledge of MS Office suite applications (Teams, Word, Excel, PowerPoint, Outlook)
  • Aptitude for mathematical operations and numerical analysis.
    Use computers, photocopiers, scanners, phone systems, meeting and virtual platform sharing relative to the needs of the job
  • Minimum keyboarding skills of 40 words per minute
Preferred Job Requirements
  • 3 or more years’ experience with office, warehouse, and related functions.
Office / Administrative
  • 7-10 hours worked per day; up to 40-43 hours worked per week
  • Bending 1-3 hours per day
  • Lifting/carrying up to 10 pounds 0-1 hours per day
  • Reviewing documents 1-5 hours per day
  • Sitting 3-8 hours per day
  • Standing 3-6 hours per day
  • Using close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Using fingers, hands, and arms to perform office/computer work 6-8 hours per day
  • Using hearing to talk, listen, and use phones 1-6 hours per day
  • Using office equipment - computers, phones, scanners, fax machines - 6-8 hours per day
  • Walking 3-6 hours per day
