Position Overview: We are seeking a motivated and detail-oriented Customer Service and Administration Specialist to join our team. This role is a unique blend of customer service and administrative responsibilities, designed to ensure smooth operations and exceptional client interactions.

Key Responsibilities:

Customer Service:

  • Act as the first point of contact for customers, addressing inquiries, resolving issues, and providing information about our products and services.
  • Maintain a positive, empathetic, and professional attitude toward customers at all times.
  • Handle customer complaints and escalations with effective problem-solving skills and a solutions-oriented approach.
  • Process orders, returns, and exchanges accurately and efficiently.
  • Follow up with customers to ensure satisfaction and gather feedback for continuous improvement.

Administration:

  • Perform general administrative tasks such as data entry, file management, and maintaining records.
  • Assist in scheduling meetings, managing calendars, and coordinating travel arrangements for staff.
  • Prepare and process invoices, purchase orders, and other financial documentation.
  • Support various departments with administrative tasks and project coordination as needed.
  • Maintain office supplies inventory and place orders when necessary.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration or customer service are a plus.
  • Proven experience in a customer service role, with a strong track record of handling customer interactions professionally.
  • Previous administrative experience preferred, with proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
  • Ability to work independently as well as part of a team, demonstrating a proactive and positive attitude.
