SweetSurf Catering is the exclusive ice cream catering service for Marianne’s, Polar Bear and Treat Ice Cream. SweetSurf has preferred partnerships with numerous venues across the Santa Cruz and Monterey Bay area. Our goal is to make special occasions even more memorable with super premium ice cream from our beloved brands, all served beautifully with a smile.
As our event coordinator, you will manage the event planning with our clients and ensure execution of all events. You will understand the various aspects of an event, such as planning, logistics, and execution, and are committed to safeguarding a smooth and successful experience. This position requires excellent organizational and interpersonal skills, ability to serve as a team leader, to communicate clearly, resolve difficult situations and be able to think on your feet if thrown curveballs at a venue. Your skills will help SweetSurf Catering and Marianne’s Ice Cream enhance its brand image and make sure every guest has an exceptional experience.
Responsibilities and tasks include:
- Plan and organize events from start to finish, including establishing event goals with the clients, finalizing contracts, creating timelines, working out details with venues, and coordinating logistics, and all operational aspects of the events.
- Coordinate with Marianne’s key operational people to obtain & organize your ice cream, supplies and all the items you need to execute successful events
- On-site coordination – manage event logistics such as equipment needed, transportation, staffing and there will be times when it is necessary for on-site set-up and tear downs. There will be busy weekends and certain large events where you will be required to manage & work events with other scoop staff.
- Conduct post-event evaluation and follow-ups, assessing the event’s success by collecting feedback, analyzing available data, and preparing post-event reports
- Some administration work and attend meetings with owner and other personnel related to events
- Other duties as assigned
Job Requirements & Schedule:
- Must be a team-oriented person who can coordinate operations between departments in a fast-paced work environment.
- Must lead by example, be proactive and provide consistent, friendly, and helpful service to employees and clients.
- Proficient in computer operations for data management, budgets, contract management and scheduling.
- Able to work varied work schedule, including evenings, weekends and Holidays as late as midnight during event days.
- Must be flexible if schedule changes last minute
- Must be able to work on multiple tasks and follow-up on a variety of details to ensure successful events.
· Must have strong Communication skills – both written and verbal
- Must obtain regulatory certifications; CA Food Handler card within 30 days
- Must possess and maintain a valid CA US Driver’s License at time of hire and must have a clean driving record.
Compensation: $20.00/HR plus event tips which range from $7 to $11/per hour)
Physical Requirements
- Ability to walk for up to twelve hours and to walk up and down stairs.
- Ability to lift, carry and transport event related supplies and equipment. e.g.: chairs, tables, umbrellas, small freezers etc.
- Ability to move and place equipment weighing up to 35 - 40lbs.
- Ability to see, produce and read agreements, instructions and correspondence
- Able to move through crowds, tables and kitchen work areas.
- Able to work under pressure
