The Records Division is responsible for ensuring the accurate and efficient handling, storage, and retrieval of County records, including physical documents and electronic files. This role involves maintaining the confidentiality, integrity, and accessibility of records to comply with legal, regulatory, and internal policies.

We Require
Two years of clerical and / or administrative experience
High school diploma or GED
A combination of post-secondary education and / or job-related experience may substitute for the minimum qualifications on a year-for-year basis
We Also Value
Experience scanning, digitizing, indexing, and filing electronic and hard-copy documents and records
Experience with records management practices and records storage software such as OnBase, EMS, and IMPACT
Proficient with Microsoft software applications (Teams, Word, Excel, Outlook)
Job Contributions
Evaluates incoming records and determines proper indexing values, appropriate placement, and storage into databases
Index / perform data entry and type with minimal errors while using advanced grammar and punctuation skills, as well as process and handle confidential information with discretion
Receives, retrieves, scans, indexes, and files hard-copy documents and electronic records from multiple divisions, email, and designated Department folders
Assists with public records requests by communicating with requestors, researching, emailing, recording information exchanges, and adhering to records request policies set in place by the Department, County, State, and Federal Laws
Performs customer service functions, with the ability to communicate and work cooperatively with other employees and the public
Participates in Division and Department activities as well as makes recommendations for activities within the Records and Outreach group
Provides administrative support to all Air Quality divisions on a case-by-case basis to be determined by the direct Supervisor
Working Conditions
Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
Ability to exert up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly and requires walking / standing to a significant degree
