Major Duties
Serves as the Administrative Assistant and is responsible for providing the highest quality of service to all customers in the Marine Corps Exchange (MCX) operation, both internal and external. Responsible for working within the administrative function for a service oriented organization, ensuring consistency of administrative duties while also supporting the delivery of a Dress Blue customer service experience.
Manages the retail administrative function to include complex clerical, customer service, administrative, and technical support duties, full coordination and performance of a wide variety of responsible administrative functions in the support of the upper level leadership functions. Organizes flow of operational program processes in an office environment and completes, compiles, and organizes information, tasks and data to meet administrative requirements. Prepares correspondence, briefs, drafts, reports and other documents for upper level leadership. Understands and articulates all MCX value stories, programs and promotions. Recognizes the core values and mission of the Marine Corps Exchange (MCX).
Takes advantage of all training opportunities to develop service skills. Develops a general understanding about the brands and products sold within the store. Partners with team members to provide answers to product questions from customers. Relays customer comments and concerns to Store Manager. Actively engages in organizational training opportunities that develop personal and professional skills related to: time management, emotional intelligence, interpersonal skills, career planning, public speaking and small group leadership.
Establishes status of actions on numerous projects and program operations. May serve on a variety of advisory committees. May be delegated signatory authority for select administrative matters. Maintains official files. Advises staff on development and implementation of local administrative directives and procedures. Ensures compliance by leaders by reviewing and revising studies, reports, correspondence for accuracy and format. Identifies and reduces all risks of loss and/or theft.
May require food handling safety training, handling and certification. May require training and handling of Western Union and other customer services offered. May require light custodial duties, light lifting of merchandise, stocking, setting planograms, price changes, inventory counts and corrections.
Provide World Class Customer Service with an emphasis on courtesy. Proactively engages all customers and addresses by rank when appropriate. Understands and operates within all service policies and exercises an ¿I can DO that!¿ mentality when a customer problem occurs. Proactively identifies opportunities to resolve customer problems and concerns to ensure their problems were resolved. Assists customers and communicates positively in a friendly manner. Take action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adhere to safety regulations and standards. Qualifications
Minimum one year of experience that demonstrates working knowledge of a personal computer and peripheral equipment using Microsoft software or a similar integrated software program. Working knowledge of word processing, database, spreadsheet, and graphics utilization and implementation. Excellent oral and written communications skills. Knowledge of administrative practices and principles. Skill to prepare documentation and presentation in proper format in accordance with naval correspondence rules of grammar and punctuation. Knowledge of support functions such as gathering statistical data. Monitoring and reporting on support budgets. Ability to liquidate travel claims, maintains stock of office supplies, make arrangements for special events and distribute paperwork. Ability to work in a high-performance atmosphere with commitment to service goals. Attention to detail is required.
