Job Description Summary

JOB SUMMARY:

The Pharmacy Operations Supervisor manages the distributive processes that contribute to the provision of safe and effective pharmaceutical care in the Medical Center. He/she assures the accurate and efficient receipt, storage, reconstitution, distribution, and disposal of pharmaceuticals within the facility. The Operations Supervisor manages the pharmacy staff, working to assure patient safety on all processes. He/she provides day-to-day oversight of operational workload and staffing issues regarding the technicians and pharmacists. The Operations Supervisor also oversees all Safety Events that are in direct relation to pharmacy systems and workflows. The Pharmacy Operations Supervisor will work closely with other healthcare professionals to support the delivery processes of high-quality pharmaceutical services

Job Specifications

Job Requirements, Prerequisites and Essential Functions:

  • EDUCATION

Requires graduation from an accredited school of Pharmacy with Pharm.D degree. Must be licensed by the California State Board of Pharmacy, in good standing. Strongly prefer completion of an ASHP-accredited PGY1 and/or PGY2 Health-System Pharmacy Administration residency program(s).

  • EXPERIENCE

Three to Five years of pharmacist experience in an acute care hospital Pharmacy preferred. Prior supervisory experience preferred. Experience managing Union members, preferred.

  • PREREQUISITE SKILLS
  • Ability to read, speak, write, understand and follow English verbal and written instruction.
  • Excellent written and verbal skills including: teaching, presentation and persuasion.
  • Up to date knowledge of medications including: pharmacology, composition, actions, indications, toxic effect(s), dosage(s), availability and distribution.
  • Proficient knowledge of Federal and State laws regulating the profession of Pharmacy and handling of medications.
  • Knowledge of legislative and regulatory requirements, particularly those involving controlled substance accountability.
  • Intimate knowledge of general Pharmacy operations.
  • Displays ownership and accountability for the customer experience, employee relations, core business metric targets/contributing factors and understanding of the organizations policies and procedures.
  • Superior ability to work tactfully with patients, public, physicians, and other members of the healthcare team, and skillfully supervise daily workflow(s) and personnel.
  • Ability to lead a team of Pharmacy technicians, evaluate staffing needs, and facilitate problem-solving.
  • Ability to mentor other team members and empower their progression and growth.
  • Ability to prioritize work flow and respond appropriately to immediate or urgent patient or work flow needs.
  • Ability to take initiative and demonstrate appropriate discretion for identification and prioritization of issues through strong problem-solving skills.
  • Demonstrates organizational skills.
  • Proficient knowledge and ability to use computer processing systems (i.e., Microsoft Word, Excel, PowerPoint, etc.).
  • Ability to develop effective training materials, policies and procedures, and standard operating procedures.
  • Ability to prepare sterile solutions.
  • Demonstrated strong leadership qualities.
  • Ability to work with electronic systems including EHR, smart pump technology, barcoding technology, Automatic Dispensing Cabinet (ADC) technology, CII safe or similar, Excel and Word, and perpetual inventory systems.
  • Proficiency with purchasing software and 340B.

License/Registration/Certification

Licensure as a pharmacist in the state of California required.

PATIENT PRIVACY (HIPAA Compliance)

Employees in this position have access to protected health information. The protected health information a person in this position can access includes demographics, date of service, insurance/billing, medical record summary information, and all other information that may be contained in patient records. This position requires patient health information to perform the functions outlined as part of this position description.

Duties And Responsibilities

  • ESSENTIAL (not modifiable)

Operational Management & Workflow Coordination

Designs, implements, oversees, and, when needed, participates in operational initiatives while determining and incorporating workflow for operational tasks and duties to be performed by staff. Manages operational workflow and scheduling of staff to ensure continuity of Pharmacy operations, including maintaining regular coverage of all staff posts for meetings and medical appointments. Coordinates staff provision of Pharmacy services on a daily basis ensuring accuracy, timeliness, and efficiency of drug preparation and distribution. Updates and maintains a master staffing schedule and the Medical Center timekeeping system with daily alterations, transactions, and sick leave. Coordinates daily activities of all Pharmacy areas, including any day-to-day redistribution of staff. Work with Pharmacy Administrative Assistant and Lead Technician to resolve any scheduling issues. Directs workflow as needed. Ensures staff is fit for duty on an ongoing basis. Assists or leads project management.

Leadership, Supervision, and Staff Development

Supervises daily workload of the staff assigning projects, manages recruiting, completes and presents performance appraisals, counsels employees, and manages terminations. Supervises the provision of Pharmacy services consistent with patient-focused pharmaceutical care. Supervises staff in the precise filing of medication and keeping of records in relation to medications for utilization by patients. Manages the duties and responsibilities of the pharmacy technicians, including their annual performance evaluations following approval by the Pharmacy Manager. Participates in the instruction and supervision of technicians and when needed, pharmacists. Ensures appropriate training checklists and ongoing competency of staff including development of new materials when necessary. Chairs staff meetings in Director’s and/or Pharmacy Manager’s absence as assigned. Promote teamwork between and among all Pharmacy areas. Commitment to the concept of delegation and team leadership of staff.

Decision Making & Problem Solving

Engages in decision-making, impacting people, costs, and quality of services. Assists with policy interpretation, resolution of conflicts with MDs and makes emergency decisions. Resolves Quality Assurance issues within area of supervision. Evaluates the efficiency of operational systems, makes and implements improvements.

Quality Assurance & Compliance

Participates in the development and execution of drug utilization reviews in cooperation with the Clinical Pharmacy Supervisor. Ensures collection and assembly of departmental quality assurance data, as well as instructions within the department to improve or ensure threshold compliance. Oversees and participates in drug distribution process in inpatient, outpatient, and IV additive areas of the pharmacy. Accountable for controlled substance inventory and record keeping in conjunction with Clinical System Technician. Maintains Quality Assurance and Medication Safety through responsive operations and problem solving on safety events. Assumes regulatory responsibilities including but not limited to California Board of Pharmacy

Program Development & Cost-Effectiveness

Participates in the development of programs to ensure cost-effective methods are utilized. Works with the Clinical Pharmacy Supervisor to enforce the closed drug formulary, evaluating use and need while suggesting alternatives and promoting cost-effective drug therapy. Participates in the identification and establishment of programs and procedures that ensure efficient drug delivery.

Communication & Collaboration

Utilizes polite and professional customer-focused methods (CARES and RBC) with clients, patients, and staff in all interactions. Promotes a positive, supportive environment within the department and Medical Center by demonstrating a pleasant and helpful attitude. Maintains collaborative, team relationships with peers and colleagues in order to effectively contribute to the working group’s achievement of goals, and to help foster a positive work environment. Identifies needs and provides education to Pharmacy staff and other departments via informal and formal methods, such as in-services and newsletters. Communicates written and oral skills effectively within and between departments. Regular attendance at interdisciplinary patient care meetings, and other applicable meetings, committees, etc., as assigned. Attends and participates in inter-departmental projects, interdisciplinary care meetings, committees, and other meetings of the Medical Center as assigned. Participates in department projects or committees.

Drafts, communicates, initiates, and assesses changes in departmental policies and procedures. Executes responsibilities within the established guidelines of Medical Center and departmental policy & procedures.

The selected candidate’s compensation will be determined based on the individual’s skills, experience, internal/market equity factors, and qualifications. This posted minimum and maximum range represents the minimum and maximum of what we reasonably expect to compensate for the position. Furthermore, all compensation decisions are ultimately determined in accordance with our compensation philosophy. Compensation for positions covered by collective bargaining agreements are governed by the agreements in the aforementioned document.
