Senior Accounting Clerk - Detention

This is a very responsible position that handles all of the Detention accounting functions. Its functions include, but are not limited to, maintaining books of various Detention related funds, making bank deposits, withdrawals, paying bills. Working either alone or assist the Fiscal Manager. JOB DUTIES: 
A. Abide by the "Law Enforcement Code of Ethics" and maintain an up-to-date working knowledge of all Jail accounting policies and procedures. 
B. Maintain accurate bookkeeping of Inmate General Fund, Inmate Welfare/Canteen Fund, and Inmate Work Release Fund. Post transfers into, from or between funds as necessary. 
C. Daily receive receipts from previous day, count money, prepare deposits and post to accounts as applicable. 
D. Balance Inmate Trust Fund and inmate debit cards daily. 
E. Collection and verification of cash for bonds, purges and deposits each morning. Verify paperwork for the Clerk of Courts for bonds and purges. 
F. Receive paychecks for inmates on Work Release, calculate amounts owed and authorized disbursements, write checks as necessary and keep account balances. Report payment discrepancies to the Fiscal Manager. 
G. Make deposits into Inmate Welfare/Canteen Fund as necessary and pay bills for Canteen operation and other authorized expenses. 
H. Prepare monthly report of Inmate Welfare/Canteen Fund and distribute as required. 
I. Perform review of jail (Detention) management system and inmate accounting system to verify correct information has been entered. 
J. Compiles monthly record of payments for meals, medical, lien, booking and intake fees for preparation of checks to the Board of County Commissioners. 
K. Post receipts and checks for Operations. 
L. Prepare bank deposits daily. 
M. Maintain proper records for audits and assist with audits as requested. 
N. Prepare invoices to other agencies, MCSO Foundation to reimburse MCSO for expenses for services rendered and prepare letters to terminated employees for training/travel expenses. 
O. Regulate agency employee fund by maintaining records, sending flowers if necessary and paying invoices from account. 
P. Count and verify monies from the Evidence Division and Drug Unit as needed. 
Q. Assist the Senior Accounting Payroll Clerk which include but not limited to, in processing EFT to the bank. 
R. Be alert for conditions or situations which inhibit efficient operation of the Support Services Bureau or the accounting function and make recommendations for solutions.
S. Perform any additional duties that may be required by the Sheriff or through necessity of situations.JOB PREREQUISITES:
High School Diploma is required, more education and experience is generally preferred. 
A minimum of three to five years of accounting/bookkeeping experience. 
Detailed oriented and the ability to organize own work. 
Have a proficient knowledge in all common Microsoft office applications (Excel, Word, Outlook, etc….) 
Ability to perform all functions of a fully charged bookkeeper and general office skills. 
Ability to handle confidential matters without compromising confidentiality. 
Ability to follow instructions with minimum supervision. 
Proficiency in English grammar, spelling and punctuation. 
Ability to work harmoniously with the public and Agency personnel.WORKING CONDITIONS: 
Normal office environment. Subject to frequent interruptions. A portion of the work is performed in an adult Detention facility, but physically separated from inmates. May have occasion to be in proximity of inmates during performance of duties. Normal office hours, but required to work overtime when necessary. 

ADA: 
Physical and dexterity requirements: Requires light work that involves walking or standing, exerting up to twenty (20) pounds of force on a recurring basis; the ability to sit at a desk and view a display screen for extended periods of time, the ability to lift, carry, push, or pull items up to ten (10) pounds; routine keyboarding operations 

Environmental hazards: 
This job risks exposure to office related dust, fumes and odors. 

Sensory requirements: 
This job requires normal visual acuity and field of vision, hearing and speaking.
