We have an immediate need for an administrative assistant/receptionist!
The Receptionist is the first representative that clients meet upon arrival. This is a 6 week project and the hours are M-F 8am-4pm.
Receptionist welcomes guests and directs all communications, tracks important data, and sets the positive tone for the workplace. This individual is often the “go to” person who uses his/her organizational skills to successfully achieve the goals of the organization.
Essential Responsibilities:
- Greets internal and external visitors in a manner that establishes positive relationships and creates a positive introduction to the organization.
- Answers incoming telephone calls in a pleasant and efficient manner, making sure to take clear and concise messages or to direct the call to the appropriate end user.
- Creates a climate that makes visitors feel that their needs are understood and important.
- Maintains a professional, friendly, courteous and respectful demeanor with all contacts.
- Maintains a quality service area by keeping the reception area and work space clean, neat and orderly.
- Understands and complies with organizational operations and policies.
- Identifies and reports problems and inefficiencies with existing systems and recommends changes when appropriate to the supervisor.
- Processes all incoming and outgoing mail. Receives and redirects all incoming electronic facsimiles.
- Photocopies documents, prepares and compiles documents and reports, and oversees the distribution of organizational documents, as needed.
- Able to multi-task in a fast paced environment.
- Orders and maintains general office supplies.
- Ability to pass a fit test. Position requires mask where seal is critical. Incumbent is required to not have facial hair that interferes with a tight seal of the respirator.
- Performs other duties as assigned.
Job Specification:
- High School Diploma or equivalent.
- Minimum 2 years of experience in an administrative / customer service role.
- Intermediate to proficient computer skills, including accurate data entry experience, and familiarity with general office equipment and software.
- Proficiency in Microsoft Office skills required.
- Excellent interpersonal skills.
- Positive approach to all duties and responsibilities.
- Ability to conform with established policies and procedures.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: 40 per week
