Job Description: Assistant Event Coordinator
Position Overview:
We are seeking a highly organized and energetic Assistant Event Coordinator to support the planning, execution, and management of various events. The ideal candidate will work closely with the Event Coordinator and team to ensure smooth event operations, from concept development to post-event wrap-up. This role requires excellent communication, time management, and multitasking skills.
Key Responsibilities
- Assist in planning and coordinating events such as conferences, corporate meetings, weddings, and social gatherings.
- Support logistical tasks, including booking venues, arranging transportation, and coordinating catering and audiovisual needs.
- Manage event timelines and schedules, ensuring all tasks are completed on time.
- Help with event promotion and marketing through social media, email campaigns, and other channels.
- Oversee event setup, registration, and attendee check-in.
- Address and resolve any on-site issues or emergencies during events.
- Collect feedback and assist with post-event evaluations and reports.
- Maintain an organized database of event contacts, invoices, and contracts.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in event management software and tools (e.g., Eventbrite, Cvent, Asana).
- Ability to work under pressure and handle multiple tasks simultaneously.
