Job Overview:
We are seeking a proactive and organized Event Assistant to support our team in the successful planning and execution of various events. The Event Assistant will play a critical role in ensuring each event runs smoothly by handling event logistics, coordinating with vendors, assisting with setup and breakdown, and managing on-site activities. This role is ideal for a detail-oriented individual with a passion for events and a knack for multitasking in a fast-paced environment.
Key Responsibilities:
Event Planning & Coordination:- Assist in planning event details and logistics, including venue selection, catering, audio/visual needs, guest registration, and transportation.
- Coordinate with vendors, suppliers, and venues to confirm event details and timing.
- Organize materials, decorations, signage, and other event supplies as needed.
On-Site Support:- Provide hands-on support during events, including setup, registration, and guest assistance.
- Act as a point of contact for vendors and troubleshoot issues as they arise.
- Oversee event breakdown and ensure that the venue is left in a satisfactory condition.
Administrative Tasks:- Prepare event timelines, schedules, and checklists.
- Assist in maintaining event budgets, tracking expenses, and processing invoices.
- Handle administrative duties such as updating databases, organizing files, and preparing reports post-event.
Guest Services:- Manage guest lists, registrations, and RSVPs.
- Communicate with guests before and during the event to provide relevant information and answer inquiries.
- High school diploma required; Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software is a plus.
- Ability to work flexible hours, including evenings, weekends, and holidays as needed.
