As a Front Desk Agent at More Than Words… Therapy Services, you will be the first point of contact for our clients and their families. This role is vital in ensuring a welcoming environment and seamless operations that support our commitment to quality therapy services.
Responsibilities
- Greet and assist clients and families with a warm, professional demeanor.
- Check in patients, verify insurance, collect copays, and schedule appointments.
- Manage phone calls, inquiries, and communication between clients, therapists, and staff.
- Maintain accurate client records and ensure HIPAA compliance.
- Process referrals.
- Oversee appointment scheduling and administrative tasks (filing, data entry, correspondence).
- Support therapists by preparing necessary documentation.
- Maintain an organized front desk and welcoming environment.
- Implement and manage records or tech systems as needed.
- Handle multiple tasks, set priorities, and meet deadlines.
- Complete reports and perform other administrative duties as assigned.
Qualifications
- Experience in customer service or front desk roles, preferably in a healthcare setting.
- Prior Office Manager or supervisory experience (preferred).
- Strong interpersonal and communication skills with clients of all ages.
- Excellent organizational and time management skills.
- Ability to make decisions independently and work efficiently in a team-oriented environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and EHR systems.
- Familiarity with phone systems, scheduling software, and records management.
- Experience with Microsoft 365, Adobe/PDF Readers, and implementing tech systems.
- Compassionate attitude toward children and families receiving therapy services.
- High school diploma or equivalent preferred.
- Multilingual abilities are a plus but not required.
