OVERVIEW
We are looking for a highly motivated and personable individual to fill a customer facing role as Front Desk Receptionist/Office assistant in a fast paced and professional environment. This role will be responsible for providing highly visible, reliable and professional concierge service to clients as well as act as serve as a general security point and visible deterrent to company rule infractions. The Front Desk Receptionist/Office Assistant will help in protecting our premises, assets, and personnel.
KEY RESPONSIBILITIES
· Welcome and greet employees, visitors, vendors, contractors and all other parties entering the building while presenting yourself in a profession manner and providing excellent customer service
· Monitor and control all access to the building using intercom and cameras. Check in and log all visitors and contractors. Communicate with management upon visitor arrival to ensure timely receiving of guests.
· Serve as security check point for all personnel entering and exiting the warehouse and operate metal detector and x-ray machine as needed. Enforcement of company policies and GMPs including but limited to making sure all personnel are wearing safety vests and following dress code.
· Maintain front desk phone system to include answering incoming calls clearly and professionally, responding to caller inquiries, directing calls as appropriate, taking and giving accurate messages and report any employee call outs to management.
· Monitor security cameras. Maintain security awareness of the building’s premises and immediately report any security concerns, medical emergencies, accidents, suspicious behavior, crimes in progress, criminal activity, or any unusual or suspicious incidents. Provide immediate notification and management of workplace violence, threats and trespassing incidents.
· Enforcement of company policies, rules and regulations.
· Manage mail, package and food deliveries as necessary.
· Schedule appointments and maintain calendars.
· Perform clerical duties such as filing, photocopying, scanning and faxing.
· Has a personable professional demeanor and provides quality customer service.
· Monitor lobby and cafeteria overall cleanliness.
· Other duties as assigned as necessary.
REQUIRED SKILLS
- 3 years’ experience as a concierge professional, receptionist, office assistant, administrative professional, or customer service specialist
- Must have an open and flexible to schedule. Strong work ethic and flexibility to work OT as needed.
- Is a good communicator (both verbal and written) and is capable of handling difficult situations both efficiently and effectively.
- Punctual, dedicated, personable and professional manner are some of the most essential key skills required for this position.
- Ability to both move about the job site for extended periods of time as well as work effectively in a stationary position
- Maintain a neat and professional appearance
- Must have reliable transportation
- Ability to learn quickly and a willingness to ask appropriate questions as needed.
- Excellent phone and computer skills including proficiency with Microsoft Office
- Strong work ethic and flexibility to work OT as needed
- The ability to create and maintain positive relationships with both external customers/clients and internal departments
PREFERRED SKILLS
- Previous work in a distribution / warehouse environment
- CPR/First Aid Certification is a plus
- An interest in becoming more involved in the daily operations and continuing to grow within the company
OTHER INFORMATION
This is a full-time position with a normal shift time of 7:30AM to 4PM. Days of work are Monday through Friday during regular business hours. This position may require long hours and some weekend work as necessary to meet the business obligations.
This role also requires the ability to lift items, bend, or stand as necessary.
