Position Overview
We are seeking an experienced, professional, and mature individual to provide personal, office, and home management support to one of our business partners. This critical role is based both within the residences of the Managing Partner (MP) and the office, and it involves significant travel, both internationally and domestically.
The primary objective is to alleviate personal and administrative tasks from the executive, enabling the executive to focus entirely on their business endeavors. The successful candidate will skillfully manage communications and arrangements with a diverse array of contacts, vendors, and organizations, serving as a trusted partner and liaison across various professional and personal spectrums. This position is service-oriented, requiring a commitment to long hours, a strong work ethic, and the highest standards of privacy and confidentiality.
Core Responsibilities
- Efficiently manage, in conjunction with a partime individual, complex scheduling and frequently changing calendars.
- Assist with family office investments and non-profit organization project work.
- Assist with confidential project management/meeting tasks.
- Plan and execute events comprehensively, including birthday parties, Christmas events, and unique private parties for clients.
- Coordinate extensive domestic and international travel, covering approximately 50-60% of the year. All travel expenses are covered.
- Oversee financial tasks, including handling bills, expenses, budgets, and reporting.
- Sort and file both physical and electronic mail.
- Undertake personal and household errands, including shopping and specialty store runs.
- Manage household operations, supervising housekeeping and laundry services,
- Performing light housekeeping duties such as surface wiping, dishwashing, and Vaccum.
- Serve as the primary contact and facilitator for the principals.
- Prepare and coordinate holiday decorations and organize dinner parties.
- Craft a quarterly cocktail menu.
- Pack and unpack for both travel and moves.
Occasional Responsibilities
- Supervise and interact with household service providers and various vendors.
- Conduct various research tasks.
- Pay bills and manage communications with the office scheduler.
Qualifications and Requirements
- Proven experience as a personal assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Ability to manage multiple tasks and priorities effectively.
- High level of discretion and confidentiality.
- Willingness to travel extensively, both domestically and internationally.
- Proficiency in financial management and reporting.
- Experience in event planning and execution.
- Capability to supervise and interact with household service providers and vendors.
Compensation and Benefits
- Salary range: $70,580 - $74,580 per year.

- Travel bonus of ranging from $8,000 to $18,000 extra per year depending on travel load.
