We are seeking a motivated and organized Assistant Event Coordinator to join our team. In this role, you will work closely with the Event Manager and the rest of the event planning team to ensure seamless execution of events from concept to completion.
Key Responsibilities:
- Event Planning Support: Assist with the preparation and planning of events, including researching vendors, venues, and other event-related resources.
- Communication: Act as a liaison between clients, vendors, and internal teams to ensure clear and effective communication.
- Budget Tracking: Assist in maintaining event budgets, tracking expenses, and ensuring events stay within allocated budgets.
- On-Site Support: Provide on-the-day support during events, ensuring everything runs smoothly, troubleshooting issues as they arise.
- Scheduling: Assist in the development and management of event timelines and schedules.
- Client Interaction: Provide exceptional customer service to clients and attendees, addressing any questions or concerns in a timely manner.
- Administrative Tasks: Handle administrative tasks such as event documentation, filing, and preparation of materials required for events.
- Post-Event Activities: Assist with post-event evaluation, including compiling feedback and preparing reports.
Qualifications:
- High school diploma or equivalent; a degree in event planning, hospitality, communications, or a related field is preferred.
- Strong organizational and multitasking abilities.
- Excellent communication skills (written and verbal).
- Ability to work under pressure and manage tight deadlines.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- A positive, can-do attitude and willingness to take initiative.
- Strong attention to detail and problem-solving skills.
