Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will be responsible for scheduling facility tours, maintaining a wait list, monitoring unit turnover, and ensuring all necessary paperwork is completed for new move-ins. Prepare, organize, review and implement all new employee onboarding paperwork. This role requires excellent communication skills, strong leadership abilities, and a keen attention to detail.
Job Duties:
- Ensure staffing adequacy. Monitor and evaluate Housekeeping and Maintenance staff performance. Provide for staff educational opportunities, orientation, and ongoing in-service.
- Participate in preparing monthly statements and deposits.
- Responsible for working with residents, families, and responsible parties to ensure proper payments are received and recorded in a timely fashion.
- Develop, implement, and monitor programs to ensure compliance with all governmental operating guidelines.
- Obtain and keep current all necessary licenses, permits, and certificates as required.
- Ensure that all Community policies, procedures, and actions do not contradict operating regulations and federal, state, or local laws.
- Participate in all governmental surveys and inspections along with the Executive Director.
- Monitor programs of health and safety for owners and employees.
- Knowledge of senior housing and assisted living practices and policies in relation to state and governmental laws.
Position Requirements:
- Bachelor's degree in business operations, management, or a related field preferred or previous experience equivalent.
- Three (3) years' experience in retirement/senior living, program development, financial management, compliance, or a related field.
- Prior supervisory experience in a similar setting including budgeting, operations and program development, performance management, discipline, and management of staff. Customer service, team building and leadership skills.
- Valid driver's license and insurable by the designated carrier.
- Must pass background and fingerprint requirements per the state of Alaska.
- Strong administrative skills with attention to detail and the ability to multitask efficiently.
