Marquand Books, a renowned publisher of fine art books and exhibition catalogues with a legacy spanning almost 40 years, is seeking a part-time Bookkeeper to join our Seattle Office. The ideal candidate possesses exceptional organizational, project management, and problem-solving skills, meticulous attention to detail, and thrives in a collaborative environment. This role reports directly to the President Creative Director and supports the administration of Marquand Books and our two internal companies: I/O Color and Smart-Rights.


This is a part-time position (20-25 hours per week) offering a competitive starting wage of $34 per hour, commensurate with experience. Benefits include an iPhone, bus pass, paid holidays and vacation days, and a flexible work environment. The position is based in Seattle, WA, and requires three on-site days per week. Qualified bookkeepers with high-level skills in general office administration who are interested in being considered for a full-time role are encouraged to indicate their interest in their cover letter.


DUTIES AND RESPONSIBILITIES

  • Reconcile Balance sheet accounts, including Accounts Payable, Accounts Receivable, Bank, and Credit Card accounts; categorize transactions; and collaborate with our CPA and Accountant to ensure accurate tax documentation
  • Record deposits in QuickBooks and process bills for payment in Brex
  • Complete month-end close procedures, including reconciliation of bank and other balance sheet accounts, and prepare financial statements for management
  • Serve as the primary point of contact for all fiscal inquiries related to client billing, vendor payments, and payroll
  • Communicate with vendors and clients to send invoices, receive payments, and collect W-9 and other necessary forms
  • Maintain a strong knowledge of GAAP
  • Run bi-weekly payroll
  • Distribute annual royalty payments to our distribution clients
  • File annual 1099s for our freelance and distribution clients
  • Provide financial insights and recommendations to management to support strategic decision-making
  • Maintain the General Ledger
  • Maintain confidential documents and files in accordance with required retention guidelines
  • Collaborate with other departments to gather relevant financial information

  • Qualifications

    • Proficiency in QuickBooks and understanding of double-entry bookkeeping, with the ability to record transactions accurately
    • Strong attention to detail, excellent organizational skills, effective communication skills, and ability to meet deadlines
    • Ability to generate accurate financial reports based on recorded transactions
    • Experience with Macintosh OS and Google platforms
    • Proficiency in QuickBooks, Microsoft Word, Excel, and Google Suite
    • Demonstrated creativity, curiosity, and strong attention to detail
    • Ability to work independently, professionally, and accurately to complete projects in a fast-paced, project-driven environment
    • Talent for managing up: prioritize active listening, understand overarching goals, ask thoughtful questions, be solutions-oriented, and seek feedback and guidance
    • Proven capability to problem-solve, take initiative, set priorities, and exercise good judgment
    • Exceptional organizational, written communication, math, and problem-solving skills

  • Preferred Qualifications

    • Experience with collaborative project management and team software or apps (e.g., Gusto, Airtable, ClickUp, Slack)
    • Interest or experience in museums, visual arts, and publishing

  • MINIMUM REQUIREMENTS

    High school diploma or GED, with a bookkeeping certification and/or associate degree in accounting preferred, and two to four years of experience providing support for a small business or mid-size department. Equivalent education/experience may substitute for minimum qualifications.
