TITLE: Administrative Assistant Revised: 3/25
Supervision Received: Pastor(s) and Leadership Board
Summary of Job: Manages all operations centered in the church office
Minimum Qualifications:
Above average ability to perform skills necessary to the job, including keyboard and computer skills, basic word processing and database software.
Willing to learn church software systems, working knowledge of office equipment.
Ability to plan and meet deadlines.
Ability to work independently and as part of a team.
Ability to meet the congregation and general public in a way that serves to enhance the ministry of the church.
Ability to interact with church and community groups and manage scheduling in a multi-site setting.
Additional Desirable Qualifications:
Previous experience and training in a secretarial or other business setting.
Responsibilities and Duties:
Serves as secretary to the Pastors, performing such tasks assigned.
Meets regularly with the Treasurer to coordinate interrelated work and establish and maintain sound operating procedures in the administrative office.
Coordinates regularly with the custodian regarding needs of those scheduling space.
Helps those who visit or telephone the office.
Operates and maintains office machines and supervises their use by others.
Establishes operating procedures and work schedules within the administrative office. Enlists and supervises volunteer help as needed.
Maintains the necessary flow of information:
Handles correspondence and mail
Prepares worship bulletins and announcements
Keeps official records
Coordinates mailings as needed
Manages and updates weekly email newsletter, social media, website as needed
Prepares Powerpoint for weekly worship.
Unless the safety or welfare of an individual is in jeopardy, strict confidentiality is expected.
Work in a safe manner, being aware of personal safety and the safety of others.
Handle money coming in daily mailings. Process money on weekly forms.
Coordinate church records.
Prepare year-end, church conference, and other reports.
Perform other tasks and duties as necessary and assigned.
Terms of Employment
The most current Support Staff Personnel Policy will apply in all matters.
Employment will be 15 hours/week.
The position is salaried at an amount established by the Leadership Board, $15/hr
The employee will sign and comply with the Sexual Harassment Policy currently in effect.
Pass a background check.
