What are the responsibilities and job description for the Administrative Assistant position at Marshall B Ketchum University?
The Marshall B. Ketchum University College of Pharmacy, Department of Pharmacy Practice (DPP) is seeking to hire a highly motivated and enthusiastic individual who will assist the Department, Faculty, Vice Chairs, and Chair in maintaining the daily operations of within the Department and the College. The Administrative Assistant will report to the DPP Chair.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Proficiency in Moodle course maintenance, course setup, messaging, grading, grade entry, gradebook setup/maintenance, assignment grading per provided rubrics, and follow-up with student assignments per DPP coursework
- Proficiency in using Examsoft software for the purposes of assisting faculty in assessment setup (creating/posting assessments), import/export questions, scheduling, grading, and grade entry
- Assist in Examsoft ID and/or Examsoft Monitor tasks such as video reviews
- Assist in Qualtrics Survey support such as survey creation, administration, and data collection
- Assist in Exam Proctoring for the Department and College
- Assist in proctoring student exam reviews
- Inventory and maintain course, laboratory, or OSCE supplies for the faculty and Department
- Inventory and maintain scheduled check-out and return of Departmental computers or other electronic hardware
- Scheduling meetings via electronic interface (e.g. ZOOM or MS Teams) for DPP faculty and administration
- Editing/monitoring/hosting electronic meetings (e.g. ZOOM or MS Teams) for DPP faculty and administration
- Record and maintain meeting minutes for DPP Monthly Departmental Meetings and for other assigned committees
- Assist DPP faculty and staff in set-up and/or clean-up of laboratory activities, OSCEs, or other course-related activities
- Assist in cleaning/sanitizing classrooms/laboratory spaces used for DPP activities/teaching
- Edit and maintain Departmental forms and templates used for data collection or other Departmental business
- Enter and maintain Departmental forms and data stored in the College shared-drive and other electronic storage areas
- Assist in Departmental and College data collection, preparation, and/or document preparation for ACPE accreditation
- Assist in completing special projects, as assigned by the Department Chair, Vice Chairs, or DPP Faculty
- Regular and reliable attendance is required; adhering to university attendance policy
QUALIFICATION REQUIREMENTS

- Excellent verbal and written communication, organizational, and interpersonal skills

- Ability to proof-read documents and pay attention to minute details
- Proficiency in computer and electronic skills including but not limited to word processing, data collection, and/or data management (e.g. MS Office, Word, PowerPoint, Excel, Outlook, Teams, etc.)
- Proficiency in online software programs such as ZOOM, Moodle, Examsoft, Qualtrics, Doodle, Google Docs, SharePoint, etc.
- Flexibility for evening/weekend work assisting in the preparation and execution of DPP-related activities or other related projects
EDUCATION AND/OR EXPERIENCE
- Minimum of High School diploma or GED; Bachelor degree preferred
- Minimum one to three years of prior administrative support experience or equivalent
