Description
At Marshall Farms, our Administrative Specialist performs a wide range of services and specialized administrative support for daily operations. The individual must work closely with several departments, including client services, husbandry, shipping, veterinary care, purchasing, and quality control, to ensure that animal records are complete and accurate. They prepare documentation and records that are provided to customers, shippers, regulators, or any other outside parties as appropriate. They are responsible for electronically documenting and archiving various data from a variety of paper records, and they will perform the final quality assurance for data entered by other departments. Administrative Specialists also provide initial interactions with all external individuals contacting Marshall Farms, either via phone or via in-person visit.
Hours for this position are Monday - Friday, 8am - 430pm.
Pay grade is an N3 with an hourly range of $18.27 - $27.41.
Essential Tasks of the role include:
- Greet and receive visitors and control access to the front door and shipping/receiving area.
- Receive and direct incoming telephone calls.
- Data entry, management, and archiving, including:
- Grading records, medical records, expired records, weaning records, Eye exam results, Dental lists, Breeder lists, Shot lists, Colony-wide medical treatments
- Documentation prepared for both research and pet shipments, including:
• Animal records such as animal health histories, pedigrees, littermate lists, pregnancy records, etc.
• Shipping documents such as packing lists, shipping labels, bill of ladings, certificates, permits, etc.
• Coordination of packages and shipments with FedEx, UPS, airlines, and other common carriers as needed.
• Company documentation, such as preparing outside mailings, invoicing, internal mail distribution, archiving, filing, etc.
Requirements
Education: High School Diploma or GED
Competency Requirements: Individual will be capable of working with various computer applications including Microsoft Outlook, Word & Excel. Individual will be required to effectively and consistently perform the above listed Essential Tasks. Individual will proficiently interact with cross-functional teams and possess good organizational skills, written and verbal communication skills, attention to detail and accuracy of one’s work.

Mental Requirement: Minimum mental requirements necessary to perform key tasks of job to include but not limited to effective interpersonal communication, maintain attention to detail and accuracy, comprehension (oral & written), understanding interrelationships between processes/activities, ability to forecast and anticipate consequences to actions, ability to coordinate activities logically, problem solving, maintain confidentiality, work with constant interruptions, stress, etc.
